The answer, as recorded
Two different things get called "note taking" for a business, so here's both - personal/team notes first, then meeting transcription. **For team notes and docs:** 1. **Notion** - my default recommendation. It's the one that actually works as a shared brain: real-time co-editing, @mentions, granular permissions, and databases you can turn into a CRM, SOP library, or project tracker. Free for small teams, ~$10-12/user/mo for the Plus plan, ~$20+ for Business. The tradeoff is setup time - someone has to own the structure or it turns into a swamp. 2. **Microsoft OneNote** - if you already pay for Microsoft 365 Business (~$6/user/mo), this is free and you should just use it. Freeform page layout, excellent handwriting/stylus support, deep Outlook and Teams integration. Weaker at structured/database-style organization than Notion. 3. **Google Keep + Google Docs** - same logic if you're a Google Workspace shop. Keep is the fast-capture scratchpad, Docs is the real document layer. Not a knowledge base, but zero marginal cost and zero adoption friction. 4. **Evernote** - still the best pure *capture* tool: Web Clipper, OCR search inside images and PDFs, document scanning. But it's fallen behind on collaboration - no real-time co-editing, no workspace-level permissions - and price hikes since the Bending Spoons acquisition have pushed a lot of small teams off it. I'd only pick it if your bottleneck is "I need to hoard and find receipts, contracts, and clippings," not "my team needs to write together." 5. **Obsidian** - for one person or a tiny technical team who wants notes as plain Markdown files they own forever. Free for personal use, $50/user/yr commercial license. Sync and collaboration are bolted on, not native. 6. **Apple Notes** - genuinely underrated if everyone's on Mac/iPhone. Free, instant, good scanning and search, shared folders. Fine for a 2-5 person shop that doesn't want another subscription. **For AI meeting notes** (a separate purchase - don't expect Notion to do this well): 1. **Granola** - best for small teams. It listens without joining as a bot, cleans up your own typed notes into a summary, and pushes to Notion/Slack/HubSpot. ~$14/user/mo for Business, free tier with limited history. 2. **Fathom** - strongest free tier in the category (unlimited recording and transcription; AI summaries capped), paid ~$15-34/user/mo. Better pick if you're sales-heavy and want call scoring and CRM sync. 3. **Otter** or **Fireflies** - the incumbents, broader integration lists, but both join calls as a visible bot, which some clients dislike. **Short version:** Microsoft 365 shop → OneNote. Google shop → Keep + Docs. Anyone else who wants one system for notes, SOPs, and projects → Notion. Add Granola or Fathom on top for meetings. One caveat on the sources: most "best of 2026" listicles here are affiliate-driven and their rankings reflect commissions, not quality - I weighted the pricing and feature facts from them and ignored the rank order. Prices also drift, so confirm on each vendor's own page before you commit. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
