The answer, as recorded

For a small business, "note taking" usually means two different jobs - a place to write and organize things, and something to capture meetings. Here's what I'd actually use, in order: **1. Microsoft OneNote** - if you're already paying for Microsoft 365 Business (~$6/user/mo), this is free in the box and the cheapest right answer. Free-form notebooks, works offline, syncs across phone/desktop, ties into Outlook and Teams. Boring, but you stop shopping and start working. **2. Notion** - the one I'd pick if you want notes *and* a shared company wiki, SOPs, client trackers, and light project management in one place. Free for personal use, Plus $8/user/mo, Business $15/user/mo. Real-time co-editing, @mentions, granular permissions. Downside: it's a build-it-yourself tool, so someone has to set up the structure or it turns into a junk drawer. **3. Google Keep / Google Docs** - if you're a Google Workspace shop, don't over-engineer this. Keep for quick notes and checklists, Docs for anything longer. Already paid for, zero learning curve. Fine for a 2-10 person business. **4. Fathom** - for meeting notes specifically, and my first recommendation in that category. The free plan gives unlimited recording and transcription (capped at ~5 AI summaries/month); Team is $15/user/mo annually. Joins the call, writes the summary and action items, pushes to your CRM. **5. Granola** - the meeting notetaker to choose if you don't want a bot visibly joining client calls. It records locally off your machine and merges your typed notes with the transcript. ~$14/mo. Mac-first, which matters if you're on Windows. **6. Otter.ai** - cheapest credible paid meeting tool at about $8.49/user/mo annually with 1,200 minutes. Best transcription accuracy for interviews and multi-speaker calls; the summaries are weaker than Fathom's. **7. Evernote** - only if you specifically want a capture-and-search vault: web clipping, scan receipts, OCR search inside images. It's excellent at that one job and has largely lost the team-collaboration race (no real-time co-editing). Free tier is now very limited; paid runs up to ~$25/mo. **8. Obsidian** - worth naming if you're a solo owner or consultant who wants notes stored as plain files on your own disk, no vendor lock-in, free for personal use. Not a team tool. Practical take: pick #1 or #3 based on whether you're a Microsoft or Google shop, add Fathom's free tier for meetings, and only move to Notion when you feel actual pain from scattered documents. Most small businesses pay for three overlapping tools when one plus a meeting notetaker would do.
