The answer, as recorded

Here's how I'd actually rank them, assuming "small business" means roughly 2-50 people: **1. Google Workspace (Google Drive) - $7-$22/user/mo.** My default recommendation for most small businesses. Business Starter is $7/user/mo (30GB pooled), Standard $14 (2TB/user), Plus $22 (5TB/user). You get email, docs, and storage in one bill, real-time collaboration is the best in the category, and external sharing links "just work" for non-technical recipients. Best fit if you don't live in Excel. **2. Microsoft 365 Business Basic (OneDrive/SharePoint) - $6/user/mo.** The cheapest serious option, with 1TB per user plus Teams and web Office. Pick this if your team already works in Excel/Word/Outlook, or your clients send you .xlsx files with pivot tables and macros. SharePoint handles shared team libraries; OneDrive is the personal drive. The tradeoff is it's more complicated to administer than Drive. **3. Dropbox Business/Standard - ~$15/user/mo, 9TB pooled team storage.** More expensive per seat, but worth it for two specific cases: you need bulletproof desktop sync of a large shared folder (its selective/smart sync is still the best), or you move large files (video, CAD, design assets, raw photos) daily. Dropbox Sign is bundled, which quietly replaces a separate e-signature subscription. **4. Box - for regulated work.** Choose this over the three above if you're dealing with HIPAA, financial, or legal compliance requirements and need granular permissions, retention, and audit trails. It's a content-governance product first and a storage product second; most businesses don't need it, and the ones that do, really do. **5. WeTransfer - for one-off sends to outsiders.** Not a storage system. Use it when you need to get a 4GB file to a client who doesn't have an account anywhere and won't create one. Free tier plus paid plans with branding and passwords. **6. Papermark - for sharing documents you want to track.** Open-source, free tier. Useful if you're sending pitch decks, proposals, or client documents and want per-page view analytics, link expiry, and email-gated access. Niche, but a real gap-filler. Two things worth knowing before you commit: - **Don't force one tool to do both jobs.** Internal collaboration and external/client-facing sharing have different requirements, and most small businesses end up with a primary suite (Google or Microsoft) plus a lightweight send-and-track tool. That's normal, not a failure of planning. - **Pooled vs. per-user storage matters more than the headline price.** Dropbox's 9TB is shared across the team; Google's 2TB on Standard is per user. With ten people, those are very different ceilings - and pooled storage gets tight fast if one person dumps video into it. If you want a one-line answer: Google Workspace Business Standard if you're platform-agnostic, Microsoft 365 Business Basic if you're an Office shop, and add Dropbox only if large-file desktop sync is central to the work.
