Brands named, in the order the engine gave
- Ramp recommended
Ramp - My default recommendation if you qualify.
- Bill Pay mentioned
Corporate cards + expense management + bill pay, and the software is genuinely free (they make money on interchange).
- QuickBooks mentioned
Receipt matching and auto-categorization are the best in the category, and QuickBooks/Xero sync is solid.
- Xero mentioned
Receipt matching and auto-categorization are the best in the category, and QuickBooks/Xero sync is solid.
- EIN mentioned
The catch: you need a registered US corporation/LLC/LP, an EIN, and roughly $25,000 sitting in a linked US business bank account - sole proprietors are ineligible.
- BILL mentioned
BILL Spend & Expense (formerly Divvy) - The one I'd point a sub-20-person business to, especially if you're already on QuickBooks Online.

# Best expense management software for small businesses The honest answer is that the "best" one depends mostly on **whether you want corporate cards bundled in** and **how many employees are submitting expenses**. Here's who I'd actually name, in order: **1. Ramp** - My default recommendation if you qualify. Corporate cards + expense management + bill pay, and the software is genuinely free (they make money on interchange). Receipt matching and auto-categorization are the best in the category, and QuickBooks/Xero sync is solid. The catch: you need a registered US corporation/LLC/LP, an EIN, and roughly **$25,000** sitting in a linked US business bank account - sole proprietors are ineligible. If you clear that bar, there's little reason to pay for anything else. **2. BILL Spend & Expense (formerly Divvy)** - The one I'd point a sub-20-person business to, especially if you're already on QuickBooks Online. Also free, cards included, and easier to get approved for than Ramp. Budget-first design: you assign virtual cards to budgets and the spend simply can't exceed them, which prevents most small-business expense headaches before they happen. **3. Zoho Expense** - Best pick if you *don't* want to change cards and just need reports, approvals, and mileage. Free for up to 3 users, then about **$3-5/user/month** (roughly $4-6 if you add annual-vs-monthly billing differences). Cheapest credible option and the dashboard is the most intuitive in its price bracket. Obvious fit if you're already in the Zoho ecosystem, but fine standalone. **4. Expensify** - The veteran. **$5/user/month** (Collect) or **$9/user/month** (Control). SmartScan receipt capture is still excellent and employees genuinely use it, which matters more than feature lists. I'd choose it over Zoho mainly for travel-heavy teams and granular tax/policy settings. Note it's pricier per seat than everything above. **5. Brex** - Worth a look if you're a venture-backed startup rather than a traditional small business. Strong card rewards and a good global/multi-entity story, but the qualification bar and product design are tilted toward funded companies, and it carries some fees Ramp doesn't. **6. Wave or plain QuickBooks** - If you're a solo operator or 2-3 people, skip dedicated expense software entirely. Accounting-led tracking is enough, and adding an expense tool is overhead you'll abandon. **Quick heuristic:** $25k+ in the bank and want cards → Ramp. Want cards but don't qualify → BILL Spend & Expense. Keeping your existing cards → Zoho Expense (cheap) or Expensify (travel-heavy). Under ~3 people → don't buy anything. One caveat on the Ramp threshold: it dropped from $75,000 to $25,000 and sources still conflict, so verify directly with Ramp before you apply.
