The question asked, verbatim: best expense management software for small businesses
Brands named, in the order the engine gave
- Ramp recommended
Ramp - My default pick for most US small businesses.
- Bill Pay recommended
Corporate cards, expense management, and bill pay in one place, and the core card + expense product is free (no per-user fee) because they make money on interchange.
- BILL recommended
BILL Spend & Expense (formerly Divvy) - The best free option if Ramp's underwriting or cash-balance requirements don't fit.
- BILL Spend & Expense recommended
BILL Spend & Expense (formerly Divvy) - The best free option if Ramp's underwriting or cash-balance requirements don't fit.
- QuickBooks recommended
Unlimited users, corporate cards, budget controls set before money is spent, and solid QuickBooks sync.
- Expensify recommended
Expensify - What I'd pick if what you need is expense reports and reimbursements, not a card program.
- Zoho recommended
Zoho Expense - The value pick, and the obvious answer if you're already in Zoho Books or Zoho One.
- Zoho Expense recommended

- Zoho One recommended
Zoho Expense - The value pick, and the obvious answer if you're already in Zoho Books or Zoho One.
- Brex recommended
Brex - Worth it over Ramp mainly if you have entities or employees outside the US, or you're a VC-backed startup that wants the banking/treasury side bundled in.
- QuickBooks Online recommended
QuickBooks Online's built-in expense tools - Not best-in-class, but if you're a 1-5 person business already paying for QBO, turning on receipt capture and card feeds there may be enough.

The answer, as recorded
Here's what I'd actually recommend, roughly in the order I'd try them: **1. Ramp** - My default pick for most US small businesses. Corporate cards, expense management, and bill pay in one place, and the core card + expense product is free (no per-user fee) because they make money on interchange. Receipt matching and categorization are genuinely automatic rather than "automatic with caveats." Paid tiers (Plus, ~$15/user/mo plus an unpublished platform fee) exist but most small teams never need them. Caveat: it's a charge card, so you need to pass an underwriting bar and pay in full monthly. **2. BILL Spend & Expense (formerly Divvy)** - The best free option if Ramp's underwriting or cash-balance requirements don't fit. Unlimited users, corporate cards, budget controls set *before* money is spent, and solid QuickBooks sync. Interface is less polished than Ramp's, but the price is $0 and it's hard to argue with that. **3. Expensify** - What I'd pick if what you need is *expense reports and reimbursements*, not a card program. Think a team of contractors or employees spending on personal cards and getting paid back, or heavy mileage and per-diem tracking. ~$5/user/month on the Collect plan, and there's a free tier for very small usage. It's the most mature product for the approval-workflow use case. **4. Zoho Expense** - The value pick, and the obvious answer if you're already in Zoho Books or Zoho One. Free for up to 3 users, then roughly $3-5/user/month. Good multi-currency and per-diem handling, which punches above its weight for a tool this cheap. **5. Brex** - Worth it over Ramp mainly if you have entities or employees outside the US, or you're a VC-backed startup that wants the banking/treasury side bundled in. Free Essentials tier, $12/user/mo for Premium. For a domestic 10-person business it's more product than you need. **6. QuickBooks Online's built-in expense tools** - Not best-in-class, but if you're a 1-5 person business already paying for QBO, turning on receipt capture and card feeds there may be enough. Don't buy a second tool to solve a problem your accounting software already half-solves. Quick way to choose: if you want company cards with controls, go Ramp (or BILL if you don't qualify). If you want to reimburse people for their own spending, go Expensify. If you're already deep in Zoho, go Zoho Expense. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
