The question asked, verbatim: best expense management software for small businesses

Brands named, in the order the engine gave

  1. Ramp mentioned
Ramp - Where I'd start for most small businesses.
  2. Bill Pay mentioned
Corporate cards + expense management + bill pay on one platform, and the core product is free for unlimited users (paid tiers up to ~$15/user/mo if you want the extras).
  3. Zoho mentioned
Zoho Expense - The best pick if you want pure expense reporting without changing how you pay for things.
  4. Zoho Expense mentioned
Zoho Expense - The best pick if you want pure expense reporting without changing how you pay for things.
  5. Expensify mentioned
Expensify - Pick this for ease of use above all.
  6. Brex compared
Brex - The alternative to Ramp if you travel internationally or are a VC-backed startup.
  7. QuickBooks mentioned
QuickBooks Online (built-in expense tracking) - Worth naming because it's often the right answer: if you're a 1-5 person business already on QuickBooks, the receipt capture and expense categorization you already pay for may be enough.
  8. QuickBooks Online mentioned
QuickBooks Online (built-in expense tracking) - Worth naming because it's often the right answer: if you're a 1-5 person business already on QuickBooks, the receipt capture and expense categorization you already pay for may be enough.
  9. Rydoo mentioned
Rydoo - Only if travel expense volume is your actual bottleneck.
  10. Xero mentioned
All six claim QuickBooks and Xero integrations, but the depth varies a lot, and a bad sync creates more bookkeeping work than it saves.

## My shortlist, in the order I'd actually suggest them **1. Ramp** - Where I'd start for most small businesses. Corporate cards + expense management + bill pay on one platform, and the core product is **free for unlimited users** (paid tiers up to ~$15/user/mo if you want the extras). Receipt matching and categorization are largely automatic, and it actively flags duplicate subscriptions and overpriced vendors. The catch: it's a charge card, so you need a business bank account with reasonable balances to qualify - it's not a fit for a pre-revenue side business. **2. Zoho Expense** - The best pick if you want pure expense reporting without changing how you pay for things. **Free for up to 3 users**, then $3/user/mo annually ($5 monthly) for Standard and $5/user/mo annually for Premium. Strongest policy engine at the price - per-category limits, approval chains, mileage, multi-currency. Obvious choice if you're already in the Zoho ecosystem, but it works standalone. **3. Expensify** - Pick this for ease of use above all. SmartScan receipt capture is still the best-in-class mobile experience, which matters because *employees actually use it*. ~$5/user/mo on Collect, ~$9 on Control; using the Expensify Card can cut Collect to ~$2.50/user. Works well when you want to keep your existing bank cards and just fix the reporting side. **4. Brex** - The alternative to Ramp if you travel internationally or are a VC-backed startup. Built-in travel booking is genuinely better than Ramp's, and the rewards are tuned to startup spend categories. $0-$12/user/mo. Less compelling for a plumbing company or a local agency. **5. QuickBooks Online (built-in expense tracking)** - Worth naming because it's often the right answer: if you're a 1-5 person business already on QuickBooks, the receipt capture and expense categorization you already pay for may be enough. Don't buy a second tool to solve a problem your accounting software already covers. **6. Rydoo** - Only if travel expense volume is your actual bottleneck. Per-diems, mileage, and multi-country VAT handling are its specialty. Overkill otherwise. **The honest short version:** if you want corporate cards and spend control, **Ramp**. If you just need employees to file expense reports cleanly, **Zoho Expense** (cheapest) or **Expensify** (nicest to use). Everything else is a situational pick. One thing to verify yourself before committing: that it writes cleanly to *your* accounting system. All six claim QuickBooks and Xero integrations, but the depth varies a lot, and a bad sync creates more bookkeeping work than it saves. Run a two-week trial with real transactions, not sample data. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
