## My actual recommendations, in order **1. Microsoft SharePoint (via Microsoft 365 Business Basic/Standard) - if you're already on Microsoft** Don't buy a separate intranet if you're paying for M365 already. SharePoint is bundled, and modern communication sites are genuinely decent now: news posts, a homepage, document libraries, granular permissions, and it surfaces inside Teams where people already are. Business Basic is ~$7.20/user/mo and Business Standard went to $14/user/mo as of July 1, 2026. Real caveat: it's the most work to set up well - consultants will quote $10-30k for a polished build, though a scrappy small business can do a usable one in a week. ([eesel.ai](https://www.eesel.ai/en/blog/sharepoint-pricing), [bestructured.com](https://bestructured.com/how-much-does-office-365-cost/)) **2. Notion - best for most small businesses under ~50 people** This is what I'd pick if I were starting fresh with a desk-based team. $10/user/mo on Plus, and your handbook, SOPs, team directory, project tracker, and meeting notes all live in one place instead of across four tools. The AI search is good now. It's not a true "intranet" (weak on company news feeds, no real employee engagement features), but for most small companies "intranet" actually means "a wiki people can find things in," and Notion wins that. ([cut-the-saas.com](https://cut-the-saas.com/guides/notion-vs-confluence)) **3. Connecteam - if your team is deskless/frontline** Retail, trades, hospitality, field service, restaurants. Mobile-first, so staff without a work computer actually use it. Free for up to 10 users, paid from ~$29/mo for a block of 30 users - which is remarkably cheap. It bundles scheduling, time clock, and checklists alongside the comms, so it often replaces two or three other subscriptions. ([clickup.com](https://clickup.com/blog/intranet-software-for-small-businesses/)) **4. Happeo - if you run on Google Workspace** The only genuinely Google-native option of the bunch; pulls in Drive, Calendar, and Groups properly rather than bolting on an integration. From ~$9.23/user/mo, and it's the only "real" intranet product in this list with transparent pricing at small-company scale. Rated 4.5/5 on G2. ([rework.com](https://resources.rework.com/tools/internal-comms/best-simpplr-alternatives), [g2.com](https://www.g2.com/compare/happeo-vs-simpplr)) **5. Confluence - only if you already pay for Jira** Free up to 10 users, then ~$6-11/user/mo. Outside the Atlassian ecosystem I wouldn't choose it; the editor and navigation feel dated next to Notion. Inside it, the Jira linking is worth a lot. ([nuclino.com](https://nuclino.com/solutions/confluence-vs-notion)) **6. Guru - narrow but excellent fit: support/sales teams** Verified knowledge cards that expire on a schedule, answers delivered inside Slack and Chrome so nobody opens another tab. The blocker for small businesses is a 10-seat minimum at $25/seat, so a 6-person team pays $250/mo - more than four times Notion. Only worth it if stale information is actively costing you money. ([cut-the-saas.com](https://cut-the-saas.com/guides/notion-vs-confluence)) ## Two I'd steer you away from **Simpplr** and **Workvivo** dominate "best intranet" listicles, but both are enterprise plays. Simpplr publishes no pricing and discounts at 500+ employees; Workvivo starts around $20,000/year. Great products, wrong buyer - if a listicle recommends them to a 15-person company, it's not paying attention to price. ([rework.com](https://resources.rework.com/tools/internal-comms/best-workvivo-alternatives), [pebb.io](https://pebb.io/articles/top-7-simppler-alternatives-for-internal-communication-in-2025)) ## The short version Microsoft shop → SharePoint. Google shop or you want a polished news-feed intranet → Happeo. Everyone else, desk-based → Notion. Frontline workforce → Connecteam. And honestly, under about 20 people, the tool matters less than whether one person owns keeping it current - unowned intranets die within a quarter regardless of what you bought. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
