Microsoft SharePoint (with Viva Connections) - If you're on Microsoft 365 Business Standard or higher, you already have this.

Modern SharePoint communication sites are genuinely good now: news feeds, document libraries with real permissions, and Copilot-powered search across files and Teams chats.

Notion - Best default if you don't want IT overhead.
- Connecteam recommended
Connecteam - The clear pick if your team is frontline, hourly, or mostly on phones (trades, retail, hospitality, clinics).
- Blink recommended
Blink - Also mobile-first, around $4.50/user/month, and easier to stand up than SharePoint.
- Happeo recommended
Happeo - If you're a Google Workspace shop and want a real intranet rather than a pile of Docs.
- MyHub recommended
MyHub - Cheapest proper per-seat intranet I'd name, roughly $3.50/user/month.
- Cheapest recommended
MyHub - Cheapest proper per-seat intranet I'd name, roughly $3.50/user/month.
- Guru recommended
Guru - Only if your real problem is "people keep asking the same questions." Its verification/Trust Score model is the best answer to stale content, but at ~$25/seat/month it's expensive for a small team and skews mid-market.

The answer, as recorded
# Best intranet software for small businesses The honest first answer: if you already pay for Microsoft 365 or Google Workspace, start there before buying anything. Most small businesses don't need a dedicated intranet product - they need the one they already own, set up properly. **My actual recommendations, in order:** 1. **Microsoft SharePoint (with Viva Connections)** - If you're on Microsoft 365 Business Standard or higher, you already have this. Modern SharePoint communication sites are genuinely good now: news feeds, document libraries with real permissions, and Copilot-powered search across files and Teams chats. Cost: $0 incremental. The catch is it takes a weekend of setup and looks generic unless someone puts effort in. 2. **Notion** - Best default if you *don't* want IT overhead. Free plan, cheap paid tiers, and anyone can build and maintain pages without a ticket queue. It's predominantly a small-business tool (~67% of its reviewers are SMBs) for a reason. Weakness: it's a wiki, not a comms platform - no real company news feed or org-wide push. 3. **Connecteam** - The clear pick if your team is frontline, hourly, or mostly on phones (trades, retail, hospitality, clinics). Free up to 10 users, then flat ~$29/month for up to 30 - not per-seat, which is a big deal at small scale. Bundles knowledge base, updates feed, chat, directory, plus scheduling and time clock. 4. **Blink** - Also mobile-first, around $4.50/user/month, and easier to stand up than SharePoint. Worth quoting against Connecteam; for ~11 people Blink works out meaningfully cheaper than Connecteam's flat tier. 5. **Happeo** - If you're a Google Workspace shop and want a real intranet rather than a pile of Docs. Native to Workspace, channels plus company feed. Pricing is quote-only, which is a minus. 6. **MyHub** - Cheapest proper per-seat intranet I'd name, roughly $3.50/user/month. Template-driven, dated-looking, but it does the job for a budget-constrained 20-50 person company that wants something turnkey. 7. **Guru** - Only if your real problem is "people keep asking the same questions." Its verification/Trust Score model is the best answer to stale content, but at ~$25/seat/month it's expensive for a small team and skews mid-market. **Who I'd skip:** Simpplr. It's a strong product but it targets 500+ employee organizations and runs roughly $7,500/month at 100 users on third-party estimates - wrong tool at this size. Same logic for most "AI-powered employee experience platforms." One caveat on the numbers: Simpplr and Happeo don't publish pricing, so those figures are third-party estimates, and the per-user prices above come from comparison-site listings rather than vendor pages - treat them as ballpark and get a quote. **Sources:** - [ClickUp - 13 Best Intranet Software for Small Business for 2026](https://clickup.com/blog/intranet-software-for-small-businesses/) - [Oak Engage - Best small business intranet software in 2026](https://www.oak.com/blog/best-small-business-intranet-software-in-2026) - [Blink vs Connecteam](https://lp.joinblink.com/blink-vs-connecteam) - [GetApp - MyHub Intranet comparisons](https://www.getapp.com/collaboration-software/a/myhub-intranet/compare/) - [G2 - SharePoint vs Notion](https://www.g2.com/compare/microsoft-sharepoint-vs-notion) - [G2 - Guru vs Notion](https://www.g2.com/compare/guru-vs-notion) - [ITQlick - Simpplr pricing](https://www.itqlick.com/simpplr/pricing) - [RFP.wiki - Happeo vs Simpplr](https://www.rfp.wiki/vendors/happeo/simpplr)

Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
