## The short version The single biggest factor: **if you already pay for Microsoft 365, start with SharePoint before you buy anything.** Most small businesses don't need a separate intranet product - they need someone to actually configure the one they're already licensed for. Here's how I'd rank them: **1. Microsoft SharePoint (with Viva Connections)** - ~$5.40/user/mo standalone, or **$0 extra if you have M365 Business Standard/Premium**. Ugly out of the box and needs real setup effort, but it's free money you're already spending, it handles files/permissions/search properly, and it won't be discontinued. Try this first. **2. Google Sites + Google Workspace** - same logic if you're a Google shop. Genuinely limited as an intranet (weak search, no news feed, no directory), but free and takes an afternoon. Fine for under ~25 people who just need a shared homepage. **3. Confluence (Atlassian)** - free up to 10 users, then ~$5-6/user/mo. Best pick if what you actually want is a **knowledge base** - documented processes, onboarding, how-we-do-things. Weak at "company culture / news feed" stuff. Excellent search and page history. **4. Connecteam** - free up to 10 users, ~$29/mo per module for up to 30 users after. The right answer if your team is **non-desk** (trades, retail, restaurants, field service, care). Mobile-first, bundles scheduling and time tracking, and people with no company email can still use it. **5. Blink** - ~$4.50/user/mo. Same frontline/mobile use case as Connecteam but more of a proper communications app and less of an ops tool. Nicer feed, better adoption. **6. Jostle** - ~$8.20/user/mo. Deliberately simple, strong at org charts, people directories and culture. Good if adoption is your worry and you have no IT person. You'll outgrow its document management. **7. Pebb** - free up to 1,000 users, ~$4/user/mo premium. Newest and cheapest of the bunch; worth a look precisely because the free tier is absurdly generous. Smaller company, so weigh the longevity risk. **8. ThoughtFarmer** - from ~$6/employee/mo. A real, mature intranet with proper onboarding support. Where I'd go if SharePoint has already failed once and you want a vendor who'll hold your hand. ## Who I'd skip **Simpplr, Workvivo, LumApps, Oak Engage** - all excellent products, all genuinely enterprise-priced. Workvivo typically starts around **$20,000/yr for 250+ users**. If a vendor won't publish pricing, you're not their target customer. Also: the figure floating around that small businesses "typically" spend **$15k-30k/yr** on an intranet is a vendor-blog number. A 20-person company should be spending $0-2,000/yr on this. ## The honest caveat Intranets fail on adoption, not features. Before picking anything, decide who owns keeping it current - if the answer is "nobody," buy nothing and use a shared drive plus your existing Slack/Teams. A dead intranet is worse than none.
