The answer, as recorded
Short answer up front: "spreadsheet alternative" usually means one of two different things - a better *spreadsheet*, or something that replaces the spreadsheet you've outgrown. Here's who I'd actually name, in order. ## If you just want a better/cheaper spreadsheet **1. Google Sheets** - The default recommendation. Real-time collaboration, nothing to install, free personally and $6/user/mo as part of Google Workspace (which also gets you business email). If your Excel pain is "we keep emailing v3_FINAL.xlsx around," this solves it on day one. **2. LibreOffice Calc** - Genuinely free, offline, handles very large files, full macro support. Best if you're cost-sensitive, don't need live co-editing, and want no subscription or cloud dependency at all. It's now the default office suite in public administration in several EU countries, so it's not a fringe pick. ## If you've outgrown the spreadsheet (the more common real problem) **3. Airtable** - The standard step up when a spreadsheet becomes a de facto database: inventory, clients, orders, content calendars. Relational tables, intake forms, good API and automations. Downside is price - $20/user/mo Team, $45 Business - which stings fast as you add seats. **4. Grist** - My value pick, and underrated. It's a real relational database with a spreadsheet face and Python formulas, cloud from ~$8/user/mo, open-source and self-hostable, and they give a free key to companies under $1M revenue. If you have one spreadsheet-fluent person on staff, this is the best power-to-cost ratio on the list. **5. Notion** - Pick this if you need a wiki, SOPs, and notes *plus* light databases in one place, from ~$12/member/mo. The databases are weaker than Airtable's; the all-in-one workspace is the reason to choose it. Coda is a close substitute (~$10/mo, billed per doc-maker rather than per viewer, which is cheaper for teams where most people only read). **6. Smartsheet** - Only if your work is project- and deadline-shaped: Gantt charts, resourcing, cross-sheet rollups. Pro at $9/user/mo is reasonable, but it's built for larger PMO/ops teams and you'll feel the enterprise weight. **7. Baserow or NocoDB** - Self-hosted, if data control or flat cost matters. Baserow is the closest open-source Airtable clone (cloud from $5/user/mo); NocoDB puts a spreadsheet UI on a Postgres/MySQL database you already have. Both run on a ~$30/mo VPS regardless of headcount - great past ~10 users, but you're now the sysadmin. ## The one thing I'd flag If the spreadsheet you're trying to escape is specifically **books, invoicing, inventory, or a customer list**, don't rebuild it in any of the above. A purpose-built tool (accounting, inventory, or CRM software) will beat a hand-rolled Airtable base on tax handling, audit trail, and support, for less total effort. Use the tools above for the genuinely custom stuff that no off-the-shelf product covers. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
