LibreOffice Calc - best free offline option, and the one to use if your files are big.

- Airtable recommended
Airtable - my first recommendation when a sheet is running a repeatable workflow: leads, jobs, inventory, orders, client projects moving through stages.
- Notion compared
Notion - better than Airtable if you need docs, SOPs, and notes living next to the data.

One flag worth stating plainly: if the spreadsheet you want to escape is tracking invoices, expenses, or payroll, none of the above is the right answer - that's accounting software (QuickBooks, Xero, Wave for the free end), and bolting a database onto it just moves the mess.

The answer, as recorded
"Spreadsheet alternative" splits two ways, so here are both - a straight swap for Excel, and tools that replace the *job* the spreadsheet is doing. Most small businesses that are frustrated actually need the second group. ## If you just want a spreadsheet that isn't Excel 1. **Google Sheets** - the default pick. Nothing else is as frictionless for sharing a file with a bookkeeper, a contractor, or a client who won't install anything. Free on a personal account, ~$7-14/user/mo bundled into Workspace. Weaknesses: it lags on very large datasets and won't run Excel VBA macros cleanly. 2. **LibreOffice Calc** - best free *offline* option, and the one to use if your files are big. Full pivot tables, conditional formatting, macros, reads/writes .xlsx. No real-time collaboration at all, which is the whole tradeoff. 3. **ONLYOFFICE Spreadsheets** - pick this over LibreOffice if .xlsx fidelity matters (you're trading files with clients who use Excel) and you still want some collaboration. Closest to Excel's actual interface. 4. **Zoho Sheet** - free, and genuinely more functions than Google Sheets (~350+), with decent automation. Makes most sense if you're already in Zoho's CRM/Books ecosystem; otherwise the learning curve isn't worth it. ## If the spreadsheet has become a mini-database (the more common real problem) 5. **Airtable** - my first recommendation when a sheet is running a repeatable workflow: leads, jobs, inventory, orders, client projects moving through stages. Linked records, multiple views of the same data, light automation. Free tier is usable; paid is $20-24/user/mo, which is the main complaint. 6. **Notion** - better than Airtable if you need docs, SOPs, and notes living next to the data. Databases are weaker than Airtable's, but one tool instead of three. From ~$12/user/mo. 7. **Smartsheet** - for teams that genuinely think in grids and need real project management: dependencies, Gantt, approvals, resource views. From ~$12/user/mo. Overkill unless you're coordinating multi-stage projects. 8. **Baserow** or **Grist** - if cost per seat or data ownership is the issue. Both are open source and self-hostable at a flat server cost (~$30/mo) regardless of headcount. Baserow is the closer Airtable clone with GDPR/HIPAA/SOC 2 coverage; Grist is the better fit if you have someone technical, since formulas are Python. Note that **NocoDB** moved to a source-available license in January 2026 - still fine for internal use, but read the terms before committing. **One flag worth stating plainly:** if the spreadsheet you want to escape is tracking invoices, expenses, or payroll, none of the above is the right answer - that's accounting software (QuickBooks, Xero, Wave for the free end), and bolting a database onto it just moves the mess. Tools like Method CRM exist specifically to bridge QuickBooks/Xero data into quoting and invoicing workflows if that's where your sheets live. **Shortest path:** if you're on Excel and merely annoyed, go Google Sheets. If your sheet has 12 tabs and three people editing it wrong, go Airtable. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
