The answer, as recorded

Depends on whether you want a *better spreadsheet* or *something other than a spreadsheet*. Here's what I'd actually recommend, in order: ## If you want to stop using spreadsheets for business data **1. Airtable** - My default recommendation. It's the easiest jump for someone who thinks in rows and columns but needs real structure: linked tables (customers ↔ orders ↔ invoices), forms for data entry, views per person, and an interface builder so staff don't touch raw data. Free tier is 1,000 records/base; Team is $20/seat/mo, Business $45. The per-editor pricing is the main thing that bites as you grow. **2. Smartsheet** - Pick this if your spreadsheets are really *project plans* - schedules, task assignments, approvals. Grid view feels like Excel, but with Gantt, automation, and permissioning. Cheapest serious option at $9/member/mo billed yearly ($12 monthly), Business $19-24. **3. Notion** - Best value if you also need docs, SOPs, and a wiki in the same place. Databases are good enough for a client tracker or content calendar, weaker than Airtable for anything relational or high-volume. Plus is $10/user/mo annual, Business $20. **4. Baserow or Grist** - Worth naming if data residency, self-hosting, or avoiding per-seat creep matters. Both are open-source Airtable-style tools you can run yourself. Grist in particular keeps real spreadsheet formulas (Python), so it's a gentler migration for formula-heavy work. **5. Monday.com** (~$12/seat/mo) - Only if the team needs to be *nudged* into using it. Better adoption and nicer UX than Airtable, meaningfully weaker as a database. ## If you just want a spreadsheet that isn't Excel **Google Sheets** - Still the right answer for most small businesses. Real-time collaboration, no version-conflict mess, free with a personal account or bundled in Workspace. **LibreOffice Calc** - Free, open source, offline, handles .xlsx well. Good when you want zero subscriptions or work somewhere with bad connectivity. **Zoho Sheet** - Makes sense mainly if you're already in Zoho for CRM/Books; the suite integration is the reason to choose it, not the spreadsheet itself. **One caveat worth flagging:** if your spreadsheet pain is specifically *bookkeeping* - invoices, expenses, reconciliation - none of the above is the fix. Go to QuickBooks, Xero, or Wave (free) instead. Rebuilding accounting in Airtable is a classic and expensive detour. **Sources:** - [10 best Excel alternatives for small businesses in 2026 - Method](https://www.method.me/blog/what-is-better-than-excel-for-large-data/) - [10 best Microsoft Excel alternatives in 2026 - Softr](https://www.softr.io/blog/best-excel-alternatives) - [10 Best Google Sheets Alternatives in 2026 - The CFO Club](https://thecfoclub.com/tools/best-google-sheets-alternatives/) - [Best Excel Alternatives for Businesses - Baserow](https://baserow.io/blog/best-excel-alternatives) - [Airtable Pricing in 2026 - Automation Atlas](https://automationatlas.io/answers/airtable-pricing-explained-2026/) - [Best Airtable Alternatives 2026 - Automation Atlas](https://automationatlas.io/answers/best-airtable-alternatives-2026/) - [Airtable vs Smartsheet - SpotSaaS](https://www.spotsaas.com/compare/airtable-vs-smartsheet) - [Airtable vs Notion - Jotform](https://www.jotform.com/blog/airtable-vs-notion/) - [Best Accounting Software for Small Businesses Transitioning from Spreadsheets - Quicken](https://www.quicken.com/blog/best-accounting-software-for-small-businesses-transitioning-from-spreadsheets-2026/)

Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
