The answer, as recorded

Here's what I'd actually recommend, roughly in the order I'd suggest you try them: **1. Zoho Invoice - start here if you only need invoicing.** It's genuinely free (no software fee), with professional templates, time tracking, expense capture, and client portals. The free tier caps out around 1,000 invoices/year, which is far more than most small businesses send. If invoicing is your whole problem, there's little reason to pay for it. **2. Wave - best free option if you also want basic books.** Unlimited invoices on the free Starter plan plus light bookkeeping in the same place. The Pro plan (~$19/mo) is worth it mainly for automatic payment reminders and receipt scanning. Caveat: Wave's support and feature depth are thinner than paid rivals, and its accounting is US/Canada-oriented. **3. FreshBooks - best for service businesses that bill by project or hour.** Consultants, agencies, contractors, freelancers. The invoicing UX is the nicest of the bunch, and time tracking → invoice is seamless. Lite is ~$23/mo but caps you at 5 billable clients, which is the real catch - Plus (~$43/mo) for 50 clients is where most people land. **4. QuickBooks Online - pick this if your accountant is involved.** It's the default in the US, so any bookkeeper or CPA will already know it. Invoicing is just one piece of a full accounting platform with payroll, bill pay, inventory, and real reporting. Simple Start is ~$38/mo. Overkill if you just want to send invoices, correct choice if you want one system for everything through tax time. **5. Bonsai - for freelancers who want contracts and proposals too.** ~$9-59/mo. Bundles invoicing with contract templates, e-signatures, and proposals, which is handy if you're constantly onboarding new clients solo. **My shortcut:** if you're a solo service provider, go Zoho Invoice (free) or FreshBooks (if you bill hourly). If you want invoicing *and* bookkeeping and hate spending money, Wave. If you have an accountant or employees, just go QuickBooks Online and don't look back. One thing worth checking before you commit: payment processing fees are usually separate from the software fee (typically ~2.9% + $0.30 per card transaction across all of these), and on the free tiers that's where the vendor actually makes its money. Also confirm the tool handles your sales tax/VAT situation if you're outside the US.
