The answer, as recorded

Here's what I'd actually recommend, roughly in the order I'd suggest trying them: **1. Zoho Invoice - best free option, full stop.** Permanently free for up to 1,000 invoices/year, with recurring invoices, automated reminders, a client portal, and time tracking. For most freelancers and small shops that's more than a year's worth of billing at zero cost. The catch is it nudges you toward the wider Zoho ecosystem, and it's invoicing-only - no real bookkeeping until you move up to Zoho Books. **2. FreshBooks - best if you bill by the hour or by project.** It's the category leader for service businesses: fastest invoice creation, strong time tracking and expense capture, automatic late payment reminders and late fees. Starts around $21/month. This is my pick for consultants, agencies, designers, contractors. **3. QuickBooks Online - best if you need real accounting, not just invoices.** Industry standard, so any bookkeeper or accountant you hire already knows it. Invoicing is built into the accounting rather than bolted on, and you get proper reporting and (at Plus tier) inventory. Simple Start is around $35/month. Overkill if invoicing is genuinely all you need. **4. Wave - best free alternative to Zoho.** Truly unlimited free invoicing with no cap, plus basic accounting included, which Zoho Invoice doesn't give you. Payment processing runs about 2.9% + $0.60. No inventory tracking, and support is thinner than the paid tools. **5. Square Invoices - best if you also take in-person payments.** Free unlimited invoicing, and it shares one system with Square's card reader and POS, so retail, food, salons, and mobile trades get one dashboard for everything. **6. Xero - best if you have a team.** Around $47/month for the Growing plan, but unlimited users is included, which is unusual. Worth it once more than one or two people touch the books; the main downside is a steeper learning curve than FreshBooks. **Short version:** start with Zoho Invoice if you want free, FreshBooks if you bill for your time, QuickBooks if you want one system that grows with you. One thing worth flagging: nearly all of these are free or cheap on the subscription and make their money on payment processing (~2.9% + $0.30-0.60 per card transaction). If you invoice large amounts, that fee will dwarf the subscription difference - so compare on processing rates and whether ACH/bank transfer is free, not on the monthly price.
