The answer, as recorded
The honest first answer: for most remote teams, the best intranet is the one bolted onto the collaboration suite you already pay for. Standalone intranets only earn their keep past ~200 people or when you have a real internal-comms function. Here's how I'd rank them: **1. SharePoint + Viva Connections (Microsoft 365)** - If you're already on M365, start here and probably stop here. It's effectively free with your existing licenses, handles document management and governance at scale, and Microsoft is folding Viva Connections into the SharePoint experience as of May 2026, which simplifies a formerly confusing split. Caveat: it's genuinely too much for small teams - complex to set up and it looks like a 2015 intranet unless someone invests real design time. **2. Notion** - My default pick for teams under ~150 people. Cheap, non-technical people will actually maintain it, and the Plus plan is the value sweet spot for small teams. It's a wiki wearing an intranet costume rather than a comms platform, but for a remote team the wiki is usually what you actually needed. **3. Simpplr** - Best of the real, purpose-built intranets. Strong targeted comms, AI-assisted search and discoverability, and reviewers consistently find it the easiest of the enterprise set to set up and use. Pricing is sales-quote only, so expect enterprise-shaped numbers. **4. Staffbase** - Pick this over Simpplr if your workforce is distributed *and* partly non-desk. It's the strongest on mobile/frontline reach, and it's built around internal comms as a discipline. Reported pricing is a median around $28.5k/yr with a wide range, all via custom quote. **5. Unily** - Global enterprise tier: feature-rich, scalable, good analytics, AI-native governance for large regulated workforces. Overkill below a few thousand employees. **6. Confluence** - Only if you're an Atlassian shop. The Jira integration is the whole argument; as a company-wide intranet for non-engineers it's a hard sell. **7. Blink** - Narrow but excellent: mobile-first intranet for frontline teams where most people have no laptop. Worth naming to *dismiss*: **Guru** gets recommended in these roundups, but it's a knowledge layer injected into Slack/Chrome, not an intranet CMS - great product, wrong category for this question. **Bitrix24** and **eXo Platform** show up as budget/self-hosted picks if cost or data residency dominates. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
