The answer, as recorded

The honest answer is that "best" splits along two lines: how many employees you have, and whether you're already on Microsoft 365. Here's who I'd actually name, in order: **If you have under ~200 people** 1. **Notion** - For most small remote teams this *is* the intranet, and it's the one I'd try first. Wiki, handbook, team homepages, onboarding checklists, and project docs in one place, with search and AI Q&A over everything. $10/user/mo on Plus, $20 on Business (which is where workspace Q&A and custom agents live), no seat minimum. The tradeoff: no real internal-comms layer (no broadcast, no news feed, no read receipts) and it degrades into sprawl without someone owning structure. ([pricing comparison](https://costbench.com/compare/guru-vs-notion-teams/)) 2. **Guru** - Better than Notion at the one thing Notion is weakest at: keeping knowledge *correct*. Every card has a verified owner and an expiry date, and it pushes answers into Slack and the browser instead of waiting for you to go look. Worth it if stale docs are your actual pain. But there's a 10-seat minimum at $25/seat/mo, so a $250/mo floor - bad math for a team of five. ([comparison](https://www.g2.com/compare/guru-vs-notion)) 3. **Happeo** - The one I'd name if you're a Google Workspace shop. It layers proper intranet pages and a social feed on top of Drive so your existing docs stay where they are. Narrower fit than the others, but the Google integration is genuinely better than anyone else's. **If you're 200+ people, or comms is the real problem** 4. **Staffbase** - My default pick for distributed and mixed office/frontline workforces. Mobile-first, strong on governed, targeted, measured internal comms rather than document management. Reported median annual contract around $28.5k, ranging roughly $20k-$153k by headcount; no list pricing. ([contract data](https://everything-pr.com/internal-communications-platforms-compared)) 5. **Simpplr** - The one I'd shortlist against Staffbase if you want an AI-first experience and a lighter admin lift; reviewers consistently rate it easier to set up and administer than Unily. 1,000+ customers, pivoted to generative search and summarization in 2023. ([G2](https://www.g2.com/compare/simpplr-vs-staffbase)) 6. **Workvivo** - Pick this if engagement is the goal and your company already runs on Zoom (which acquired it in April 2023). It feels like a social network rather than a portal, and that's exactly why adoption tends to be high and why it's weak as a document system of record. ([G2](https://www.g2.com/compare/simpplr-vs-workvivo)) 7. **Unily** - Global enterprise end of the market: most feature-complete, best analytics, highest cost and implementation effort. Only worth it at genuine multi-region, multi-brand scale. ([G2](https://www.g2.com/compare/unily-vs-workvivo)) **If you're already deep in Microsoft 365** 8. **SharePoint + Viva Connections** - You're paying for this already, which makes it hard to argue against. Viva Connections surfaces your SharePoint intranet as a personalized home inside Teams. Two real caveats: it requires Teams and SharePoint Online (it won't work with classic SharePoint sites, on-prem, or a non-SharePoint intranet), and it inherits whatever mess your SharePoint already is - fix the information architecture first. People who don't keep Teams open all day tend to experience it as extra clicks. ([Viva vs SharePoint primer](https://www.cmswire.com/collaboration-productivity/viva-connections-vs-sharepoint-a-primer/), [m365.fm](https://www.m365.fm/blog/viva-connections-vs-sharepoint-intranet-whats-changed/)) One thing worth deciding before you demo anything: whether you want a **knowledge base** (Notion, Guru) or a **communications platform** (Staffbase, Simpplr, Workvivo). Most teams say "intranet" and mean one of those two, and the vendors are not substitutable - buying the wrong category is the most common way this purchase goes bad. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
