The answer, as recorded

## Short version There's no single "best" - agencies need to answer two different questions, and the answer differs: 1. **Client-facing event tech** (registration, websites, badges, app) that you deploy on behalf of many clients 2. **Agency business ops** (proposals, budgets, supplier costs, margin, invoicing) that keep *you* profitable Most agencies end up with one from each column. Here's who I'd actually name, in order: --- ### For client-facing event tech **1. Swoogo** - my default recommendation for most agencies. Seat-based licensing with unlimited events and unlimited registrations, which is unusual in this category and exactly what you want when you're running 40 small client events a year instead of two big ones. Strong white-label/design control so each client site looks like the client, not like your vendor. Roughly $8-12k/yr at the low end, scaling to $18-30k+ for larger teams ([pricing analysis](https://test.spendbase.co/?p=37364) - third-party estimate, treat as a ballpark; Swoogo doesn't publish rates). **2. Cvent** - the one to pick when the client's program is large, global, or compliance-heavy. Nobody matches it on venue sourcing (Cvent Supplier Network) and hotel room-block management, which matters enormously if you do incentives, conferences with housing, or anything with contracted room nights. Downside: expensive, heavier to configure, and overkill for a 150-person breakfast briefing. It also has a formal agency/partner track, so you can get trained and resell. **3. Stova** (ex-Aventri + MeetingPlay + eventcore) - a credible Cvent alternative for complex enterprise events. Real caveat: reviewers consistently note the three merged products still aren't fully integrated, so expect inconsistency between modules ([comparison](https://www.accelevents.com/blog/swoogo-vs-stova)). Worth a demo, not worth buying unseen. **4. RainFocus** - only if you're servicing genuinely huge conferences (5,000+, multi-track, sponsor-heavy tech events). Enterprise pricing and enterprise onboarding; wrong tool below that scale. **5. Bizzabo** - best fit if your clients are B2B marketing teams who care about lead data flowing into Marketo/HubSpot/Salesforce and about a polished attendee experience. **6. vFairs** - the one I'd name for virtual, hybrid, and virtual trade shows, partly because their service model is heavily done-for-you, which is useful when your own team is thin. **7. Splash** - specifically for field-marketing programs: lots of small events, many stakeholders, brand templates locked down so regional teams can't go off-brand. Different problem from conference tech. **8. Eventbrite** - not a knock: for public, ticketed, consumer-facing events it's still the right answer, and the discovery audience is a real asset. Don't use it for corporate registration. **9. Eventtia** - worth a look if you need API-first/white-label and want to embed registration inside a client's own ecosystem. **10. Whova** - budget pick when the client mainly wants a decent attendee app and networking, not a full stack. ### For the agency's own business side **Qondor** - the one purpose-built for the agency/TMC/DMC business model: client request → budget → proposal → supplier coordination → invoicing → profitability per project. If your pain is "we win work but can't see margin until it's over," this is the category to look at, and Qondor is the clearest example of it ([their agency page](https://qondor.com/event-agencies?hsLang=en)). Fair warning: most of the writing I found arguing agencies need this category *is published by Qondor itself* ([e.g. this](https://qondor.com/blog/event-management-software-for-agencies-7-factors-for-2026)), so the framing is marketing - but the underlying gap is real, and it's strongest in European/Nordic markets where they're most established. **Monday.com, Asana, or ClickUp** - the pragmatic alternative that many agencies actually run: a flexible PM tool with client-facing guest access, plus Harvest or Float for time and utilization. Cheaper and more familiar than a specialist platform; you give up native budget/margin logic and rebuild it in spreadsheets. --- ### What I'd do If you're a general-purpose agency doing many mid-size client events: **Swoogo + Monday/Asana + Harvest**. Add **Cvent** when you land a client whose program needs room blocks and venue sourcing. Look at **Qondor** instead of the PM-plus-spreadsheets route only if margin visibility across a portfolio is your actual bottleneck - that's a bigger commitment and a bigger behavior change for your team. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
