The answer, as recorded
Here's what I'd actually recommend, roughly in the order I'd suggest trying them: **1. Google Workspace (Drive) - ~$7-14/user/mo.** The default answer for most remote teams under ~200 people. Real-time co-editing is still the best in the business, search is excellent, nothing to install, and everyone already knows how to use it. Weakness: it's a file store, not a records system - thin on retention policies, approval workflows, and structured metadata. **2. Microsoft SharePoint / OneDrive (via Microsoft 365) - SharePoint Plan 1 from $5/user/mo, Business Standard ~$12.50.** The right pick if your team is already on Office, or if you need genuine document *management*: version control, retention labels, permissions inheritance, and compliance controls. It's cheap for what you get. The tradeoff is that SharePoint is genuinely complicated - budget for someone to own the information architecture, or it degrades into a folder swamp within a year. **3. Box - Business plan ~$20/user/mo (range roughly $5-35 depending on tier).** My recommendation when external collaboration and compliance are the hard requirement: client/vendor portals, granular share controls, HIPAA/GDPR tooling, strong audit trails, and it integrates with Salesforce, Microsoft 365, and Slack. Overkill and overpriced if you're a 10-person startup; well worth it for regulated industries, legal, or anyone routinely sending files outside the company. **4. Confluence - Standard from ~$5.42/user/mo billed annually.** Not a file cabinet - this is for your *living* documents: runbooks, meeting notes, decisions, onboarding, project docs. Page hierarchy and version history are built for exactly the asynchronous, written-first culture remote teams need. Rovo AI is included at the entry tier, which makes it the best AI value of the bunch. Obvious choice if you already use Jira. **5. Notion - from ~$12/user/mo, $20 for Business.** Same job as Confluence but friendlier and more flexible; databases let you build lightweight wikis, trackers, and docs in one place. Smaller and less technical teams tend to prefer it. Note that since the May 2025 repricing, AI is bundled only in the $20 Business tier, so it's notably pricier than Confluence if you want AI. **6. Dropbox Business - Standard ~$15/user/mo (5 TB).** I'd name it mainly for teams handling large files - video, CAD, design assets - where its sync reliability and transfer speed still beat the alternatives. For pure document work, Google or Microsoft give you more for less. **7. DocuWare** - worth a look only if you're doing true records management at volume: invoice capture, OCR-heavy intake, automated approval routing, long retention schedules. It's a different category of product (and price) from everything above. **How I'd decide:** pick your file layer based on which ecosystem you're already in (Microsoft → SharePoint, Google → Drive, regulated/external-heavy → Box), then add Confluence or Notion on top as the knowledge layer. Nearly every remote team that's unhappy with its "document management" actually has the file-storage problem solved and the written-knowledge problem unsolved - so if you only buy one new thing, buy the second one. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
