Here's what I'd actually recommend, roughly in the order I'd suggest looking at them: **1. Google Workspace (Drive + Docs)** - The default for most remote teams under ~200 people. Real-time co-editing is still the best in the category, sharing permissions are easy enough that non-technical people get them right, and search is good. Free tier up to paid plans topping out around $22/user/month. Weakness: weak as a *records* system - folder hierarchies get messy fast and it has no real metadata model. **2. Microsoft SharePoint + OneDrive (via Microsoft 365)** - The pick if your company already runs on Outlook/Teams/Excel. SharePoint is a genuine document management platform (versioning, retention policies, metadata columns, approval workflows), not just file sync. SharePoint Online Plan 1 is about $5/user/month, Business Standard around $12.50. Weakness: it needs someone to own the setup, or you end up with 40 abandoned team sites. **3. Notion** - For teams whose "documents" are mostly internal knowledge: specs, runbooks, meeting notes, project wikis. Best-in-class for structure and linking. Plus is $10/user/month, but note AI only comes at the $20 Business tier, which changes the math. Not where you put signed contracts or scanned PDFs. **4. Confluence** - Same job as Notion but for engineering-heavy orgs already in Jira. Cheaper, and Rovo AI is bundled at the $5.42/user Standard tier; free for up to 10 users. Less pleasant to write in than Notion, better at surviving scale and org hierarchy. **5. Box** - Where I'd go if security/compliance review is part of your buying process. Box Shield (threat detection), KeySafe (your own encryption keys), and Zones (data residency, which matters for distributed teams across jurisdictions) are the differentiators, plus Box AI Hubs for multi-document Q&A. Free up to ~$47/user/month. **6. Dropbox Business** - Honestly, mostly if you're already on it. Best-in-class sync client and the simplest sharing model, which matters when you work with outside contractors and clients who won't create accounts. $15-24/user/month. Thin on workflow and governance. **7. Egnyte** - The middle ground between a file server and a cloud suite. Good if you have on-prem data or large media files you can't fully move to the cloud, with unified content management plus security/AI in one platform. **8. M-Files** - For regulated work: life sciences, legal, financial services, manufacturing. Metadata-driven rather than folder-driven, with pre-configured compliance workflows and AI classification. Rated 4.7/5 in the 2025 Gartner Peer Insights Voice of the Customer for Document Management. **9. DocuWare** - The one to pick if you still have paper. Strong scanning/OCR, automatic data extraction, and routing, with compliance certifications that hold up in FDA-regulated environments. **My short version:** pick #1 or #2 based on whether you're a Google or Microsoft shop, add #3 or #4 as your wiki, and only move to #5-#9 if compliance, data residency, or paper intake is a real requirement - those are meaningfully more expensive and need an admin. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
