The answer, as recorded

Here's what I'd actually recommend, roughly in the order I'd bring them up: **1. Google Workspace (Drive) - the default for most remote teams.** Real-time co-editing is still the best in the business, search is excellent, and there's no "check out the file, then check it back in" friction that trips up distributed teams across time zones. Starts around $6-7/user/month. Weakness: folder permissions get messy at scale and it's weak on records retention/compliance workflows. **2. Microsoft SharePoint + OneDrive - if you're already paying for Microsoft 365.** You effectively get it for free (SharePoint standalone is ~$5/user/month), and the Teams integration means documents live where people already talk. It's the strongest option for structured document libraries, metadata, permissions, and approval workflows. Weakness: it needs someone to own the information architecture or it degenerates into a landfill. **3. Box - when security and compliance are the actual requirement.** Governance, retention policies, granular external sharing, Box Shield for threat detection, and strong HIPAA/FINRA/GxP posture. This is what I'd name for legal, healthcare, finance, or any team that routinely sends documents to outside parties. Business is ~$20/user/month, Business Plus ~$33 - you're paying for the controls, not the storage. **4. Dropbox Business - best pure file sync and large-file handling.** If your "documents" are 4GB video files, CAD drawings, or design assets rather than text, Dropbox's sync engine is still the most reliable one. From ~$12-15/user/month. Thin on workflow and governance. **5. Notion - if "documents" mostly means internal knowledge, not files.** Handbooks, SOPs, meeting notes, project docs. Enormously better than a folder tree for async remote work because everything is linked and searchable. Not a DMS in the compliance sense - don't put signed contracts here. **6. Confluence - the Notion alternative for engineering-heavy teams.** Pick it over Notion if you're already on Jira; the ticket-to-doc linking is the whole reason. Otherwise Notion is the nicer product. **7. M-Files or DocuWare - real DMS territory.** Worth naming if you need OCR of scanned paper, invoice capture, automated routing, and audit trails. DocuWare in particular comes up for finance/HR process automation. Heavier, pricier, needs implementation effort - only go here if 1-6 genuinely can't do the job. **My actual advice:** don't buy a DMS first. Use whichever of Google Workspace or Microsoft 365 you're already on, add Notion or Confluence for internal knowledge, and only add Box or M-Files when a specific compliance or audit requirement forces it. Most remote-team document pain is taxonomy and conventions, not software. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
