# Document management for remote teams The honest first answer: most remote teams don't need a "DMS" - they need a good cloud collaboration suite plus a wiki. Buy a real DMS only when you have retention schedules, approval workflows, or auditors. Here's how I'd rank them. ## Start here (the default for most remote teams) **1. Google Workspace (Drive + Docs)** - The best default. Real-time co-authoring is still the smoothest of anything on this list, search across Drive is genuinely good, and adoption friction is near zero for distributed teams. Weak on formal version control and records retention, strong on everything people actually do daily. (~$14-22/user/mo for Business tiers.) **2. Microsoft SharePoint + OneDrive (Microsoft 365)** - The pick if you're already in Microsoft 365 or if anyone lives in Excel. It's the one option here that's a real document management system *and* an office suite: document libraries, metadata columns, granular permissions, version history, retention labels, Teams integration. Cost is that it's genuinely complex - an unowned SharePoint becomes a swamp within a year. **3. Notion** - Not a DMS; it's where your SOPs, runbooks, and internal knowledge should live. Pair it with Drive or SharePoint rather than treating it as your file store - it has no strict version control or compliance story. Confluence is the equivalent pick if you're an Atlassian/Jira shop. ## When files are the product **4. Box** - The one I'd name for enterprise content: granular access controls, activity visibility, content lifecycle and governance features, strong external-sharing model for working with clients and contractors. Better governance than Dropbox, less lock-in than SharePoint. **5. Dropbox Business** - Reliable storage, sync, recovery, and version history, and still the best pure sync client. Lags Google and Microsoft on collaboration, so pick it when large files and dependable syncing matter more than co-editing. ## When you have auditors **6. M-Files** - Metadata-driven rather than folder-driven, with automatic audit trails on every view/edit/share. Best for mid-to-large orgs with documents scattered across multiple systems; well regarded in engineering, manufacturing, legal, and financial services. **7. Laserfiche** - Strongest workflow engine of the group: multi-step approvals, automated routing, records retention scheduling, compliance reporting. Heavily used in local government, healthcare, and financial services. **8. DocuWare** - Similar territory, aimed at mid-size regulated orgs: capture, full-text search, version control, audit trails. Lighter lift than Laserfiche. **9. Folderit** - The small-team version of the above. Approval workflows, granular permissions, and version control at a fraction of the cost and deployment time of M-Files or Laserfiche. Worth a look if you want compliance features without an implementation project. ## Self-hosted **10. Nextcloud** - The credible open-source replacement for Drive/Dropbox: files, sharing, collaborative editing (via Collabora/OnlyOffice), calendar, video. Full data control, real ongoing ops burden. **11. Paperless-ngx** - Excellent for OCR and archiving scanned documents, with a clean REST API. Caveat for your use case: it's built for one user or a very small shared team and lacks role-based permissions across departments - it's an archive, not a team DMS. ## What I'd actually do Small remote team: **Google Workspace + Notion**. Microsoft shop: **SharePoint + OneDrive**, with someone explicitly owning the information architecture. Client files or IP as the core asset: **Box**. Regulated: **M-Files** or **Laserfiche** if you're big, **Folderit** if you're not.
