The answer, as recorded
Here's what I'd actually recommend, roughly in the order I'd try them. ## The general-purpose connectors (pick one of these first) **1. Zapier** - Start here if you're not technical. Biggest app library (~7,000+ integrations), so whatever weird CRM or invoicing tool you use is probably supported, and the trigger→action model takes about ten minutes to understand. The catch is price: it bills per *task* (one action = one task), so a 6-step workflow running 200 times a month burns 1,200 tasks. Free tier is ~100 tasks/mo; paid starts around $20/mo for 750 tasks and climbs fast. Best when your volume is low and your time is the expensive part. **2. Make (formerly Integromat)** - My default recommendation for most small businesses that have outgrown Zapier's bill. Visual canvas instead of linear steps, much better at loops, branching, and manipulating data mid-flow, and roughly 40-60% cheaper per unit of work (free tier ~1,000 operations/mo; paid from ~$9/mo for 10,000 ops). Steeper learning curve than Zapier - maybe a weekend rather than an afternoon - but it pays for itself quickly. **3. n8n** - The right answer if you or someone on the team is comfortable with a server. It bills per *workflow execution* rather than per step, which is dramatically cheaper for multi-step automations, and self-hosting is free (you just pay ~$5-20/mo for a VPS). Also the strongest of the three for AI/LLM steps and for anything where you don't want customer data sitting in a third-party SaaS. Cloud plans start around $20-25/mo if you'd rather not run it yourself. **Activepieces** is the honorable mention here - open-source, MIT-licensed, friendlier UI than n8n. Smaller integration catalog, so check your specific apps first. ## If you're already inside an ecosystem **4. Microsoft Power Automate** - If you pay for Microsoft 365, you already have a decent chunk of this. Approvals, SharePoint/Outlook/Teams flows, and Excel-driven processes work well and cost nothing extra on many plans. Clunky outside the Microsoft world; great inside it. **5. Airtable automations** - Underrated. If your "workflow" is really a shared tracker - job pipeline, content calendar, inventory, client onboarding - Airtable gives you the database *and* the automation in one place, and you skip the entire problem of syncing two tools. Same logic applies to Notion automations, Monday.com, and ClickUp if your team already lives there. **6. HubSpot workflows** - If the automation you need is sales/marketing follow-up (lead routing, sequences, deal-stage triggers), do it in your CRM rather than bolting Zapier onto it. The free HubSpot tier covers more than people expect. ## For the specific case of forms and approvals **7. Jotform Workflows** or **Typeform + one of the above** - If the bottleneck is intake (purchase orders, time-off requests, client questionnaires, quote requests), a form tool with built-in conditional routing and approvals is simpler than wiring it together yourself. ## One honest caveat The "best tools" listicles on this topic are heavily gamed - several of the top results for your question are blogs owned by the tool they rank #1. Treat any ranking that puts an unfamiliar product above Zapier/Make/n8n with suspicion, and check pricing on the vendor's own page, since these plans change often. **If you want one answer:** try Make, and only move to n8n if cost or data control becomes an issue, or to Zapier if Make can't reach an app you need. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
