Here's what I'd actually recommend, roughly in the order I'd try them: **1. Zapier - the default starting point.** ~6,000+ app integrations, and you can build a useful automation in ten minutes without reading docs. Free tier is 100 tasks/5 Zaps; paid starts ~$19.99/mo for 750 tasks. The catch: it bills *per task*, so a 10-step workflow burns 10 tasks every run. Great until volume grows, then it gets expensive fast (~$69-299/mo at 10k tasks). **2. Make - best value once you outgrow Zapier's pricing.** Visual drag-and-drop canvas, branching and error handling that Zapier charges extra for, and far cheaper: $9/mo for 10,000 operations vs. Zapier's $69+ for comparable volume. Steeper learning curve - you'll spend a weekend with it rather than an afternoon. **3. n8n - if you have any technical person on staff.** Bills per *workflow execution*, not per step, so a 10-step automation counts as 1 run. Cloud is $20-50/mo; self-hosted Community Edition is free on a ~$6/mo VPS. Also the strongest of the three for AI/LLM steps, and self-hosting keeps data in-house if that matters for you. **4. Airtable - when the automation needs a database behind it.** Honestly the one most small businesses actually need and don't realize it. Client intake, inventory, job pipelines, content calendars - with built-in trigger/action automations. Use it as the system of record and let Zapier/Make handle the connective tissue. **5. Jotform - if your process starts with a form.** Intake, quotes, applications, approvals, payments. The automation and approval routing is built in, so you often skip needing Zapier at all for these flows. **6. Microsoft Power Automate or Google Apps Script - if you're already all-in on one ecosystem.** Power Automate is effectively free-ish with many Microsoft 365 business plans, so if you're a Microsoft shop, check what you already own before paying for anything above. My practical advice: start on Zapier's free tier to prove the automation is worth having, then migrate the keepers to Make or n8n when the task bill exceeds ~$50/mo. Don't start with the cheap-at-scale tool - you'll spend your enthusiasm on learning the builder instead of on fixing the actual process. One caveat on the research: a lot of "best workflow tool" listicles are vendor-owned content marketing, including several in my results (Jotform's own blog, Hidesc, bika.ai, Zapier's own n8n comparison). I weighted the pricing figures, which are verifiable, over the rankings, which aren't.
