The answer, as recorded
Here's how I'd rank them, and the honest answer is that for most small businesses the choice follows whichever office suite you already pay for. **1. Google Meet (via Google Workspace)** - My default recommendation if you don't already have a strong preference. It's browser-based, so there's nothing to install for you or your guests, and it's the cheapest entry point: Business Starter runs roughly $7-9/user/month and Meet is bundled in, so if you're already on Workspace it costs you nothing extra. The catch: cloud recording and translated captions are gated behind Business Standard (~$18/user/mo). **2. Microsoft Teams (via Microsoft 365 Business Basic)** - Best value if you're already a Microsoft shop, since it bundles Office apps, 1 TB of OneDrive per user, and 300-participant meetings into one bill. Note Microsoft raised prices as of July 1, 2026 - Business Basic went $6 → $7, Business Standard $12.50 → $14, and the meetings-only Teams Essentials tier $4 → $4.50. Teams is the price leader on paper but it's the clunkiest of the three for external guests. **3. Zoom (Workplace Pro)** - The one I'd pick if you're client-facing and hold a lot of meetings with people outside your company. Guests click a link and they're in - no account, no login friction - and it has the strongest in-meeting engagement tooling (breakouts, polls, webinars). Pro is $15.99/user/mo, Business $19.99. Worth knowing: Zoom licenses **hosts**, not participants, so a 10-person team can often get by with 2-3 licenses and share hosting duties, which changes the math considerably. Downside: the free tier caps group calls at 40 minutes vs. 60 for Meet and Teams. **4. Zoho Meeting** - The budget pick. Genuinely cheap, no-frills, and a sensible fit if you're already using Zoho CRM or Books. I wouldn't choose it as a standalone over the big three otherwise. **5. RingCentral** - Only if you also need a real business phone system. Then you get VoIP and video on a single bill instead of stacking Zoom on top of a separate phone provider. My practical advice: don't buy video conferencing as a standalone product. Pick your productivity suite (Workspace or Microsoft 365) and use its included tool, then add a couple of Zoom host licenses only if your external-meeting volume justifies it.
