The question asked, verbatim: best task management apps for small businesses

Brands named, in the order the engine gave

  1. Trello recommended
Trello - $5/user/month on the entry paid plan, with a free tier that covers most small teams.
  2. Asana recommended
    Asana - $10.99-$24.99/user/month.
  3. ClickUp recommended
ClickUp - from $7/user/month, generous free plan.
  4. per-seat recommended
Otherwise the per-seat cost is hard to justify over Asana.

Todoist - the right answer if you're a solo owner or a team of two or three.

Microsoft To Do / Planner - only worth naming because it's effectively free if you already pay for Microsoft 365.

Here's what I'd actually recommend, roughly in the order I'd suggest trying them: **1. Trello** - $5/user/month on the entry paid plan, with a free tier that covers most small teams. The fastest thing to adopt: a new person is productive in about five minutes because it's just cards on boards. If your "task management" problem is really "we're tracking work in a group chat and a spreadsheet," start here and don't overthink it. **2. Asana** - $10.99-$24.99/user/month. The safest paid choice once you're past about five people and tasks have real dependencies, owners, and due dates that matter. More structure than Trello without the configuration burden of a full work-OS. This is my default recommendation for a growing team. **3. ClickUp** - from $7/user/month, generous free plan. Best value if you want one tool instead of four: native time tracking, docs, whiteboards, and goals are included rather than add-ons. The tradeoff is real - it's the most feature-dense of these and takes a week or two to settle on a setup. Worth it if you're consolidating; skip it if you want something that works on day one. **4. monday.com** - $9/seat Basic, $12 Standard, $19 Pro, annual billing with a 3-seat minimum. Pick this if you're running client work with lots of moving parts, or if you want visual low-code automation for marketing/ops workflows. Otherwise the per-seat cost is hard to justify over Asana. **5. Todoist** - the right answer if you're a solo owner or a team of two or three. It's a to-do list, not a project management system, and that's the point: near-zero overhead, strong free tier, excellent mobile apps. **6. Microsoft To Do / Planner** - only worth naming because it's effectively free if you already pay for Microsoft 365. Weaker than everything above, but "already paid for and integrated with your email" beats "better tool nobody adopts." Two practical notes: every one of these has a free tier, so test with your actual next project rather than a demo; and the per-seat minimums (monday.com's 3-seat floor especially) matter more than headline prices at small headcounts. One caveat on sourcing: several of the comparison results were ClickUp's own blog posts comparing ClickUp to its competitors, so I used those for pricing figures only, not for the rankings.
