The question asked, verbatim: best task management apps for small businesses

Brands named, in the order the engine gave

  1. Trello mentioned
Trello - Start here if you're under ~10 people and mostly need "who's doing what, what's next." Kanban boards are self-explanatory, so adoption is nearly free - nobody needs training.
  2. Asana mentioned
Asana - The safest paid pick once you hit roughly 5+ people and tasks start having dependencies and due-date chains.
  3. ClickUp mentioned
ClickUp - Most functionality per dollar: ~$7/user/month paid, and a genuinely usable free tier with unlimited users.
  4. Monday.com mentioned
Monday.com - Pick this over Asana specifically if you run client work: lots of parallel projects, status visibility for non-technical stakeholders, and heavy automation.
  5. Todoist mentioned
Todoist - If "task management" for you means a shared to-do list, not project management.
  6. Microsoft mentioned
Microsoft To Do / Planner - Only because it's the rational default if you're already paying for Microsoft 365.
  7. Microsoft 365 mentioned
Microsoft To Do / Planner - Only because it's the rational default if you're already paying for Microsoft 365.
  8. Basecamp mentioned
Basecamp - Worth a look if your pain is scattered communication as much as scattered tasks, and especially if you dislike per-seat pricing - it has a flat-rate plan that gets cheaper as you grow.
  9. per-seat mentioned

The answer, as recorded

Here's how I'd rank them for a small business, roughly in the order I'd actually try them: **1. Trello** - Start here if you're under ~10 people and mostly need "who's doing what, what's next." Kanban boards are self-explanatory, so adoption is nearly free - nobody needs training. Free plan covers up to 10 collaborators; paid starts around $5/user/month. Its limit is reporting and anything resembling resource planning. **2. Asana** - The safest paid pick once you hit roughly 5+ people and tasks start having dependencies and due-date chains. Best-in-class task hygiene (subtasks, assignees, rules, multiple views) without the sprawl. Premium runs about $10.99/user/month, Business $24.99 - the jump to Business is where it stops being cheap, so check whether you actually need workload views. **3. ClickUp** - Most functionality per dollar: ~$7/user/month paid, and a genuinely usable free tier with unlimited users. Worth it if you want docs, time tracking, and goals in one place instead of three subscriptions. The tradeoff is real - it's the most complex of these to set up, and teams that don't appoint someone to own the configuration tend to abandon it. **4. Monday.com** - Pick this over Asana specifically if you run client work: lots of parallel projects, status visibility for non-technical stakeholders, and heavy automation. ~$9/user/month, and it usually has a minimum seat count, which stings for very small teams. **5. Todoist** - If "task management" for you means a shared to-do list, not project management. Cheap, extremely fast, excellent mobile apps. For a 2-4 person shop this is often the right answer and the others are overkill. **6. Microsoft To Do / Planner** - Only because it's the rational default if you're already paying for Microsoft 365. It's not better than anything above, but it's included, and "free and already integrated with your email and files" beats "slightly better tool nobody logs into." **7. Basecamp** - Worth a look if your pain is scattered communication as much as scattered tasks, and especially if you dislike per-seat pricing - it has a flat-rate plan that gets cheaper as you grow. Weaker as a pure task tracker. One practical note: the cost that matters isn't the monthly fee, it's migration. Run a two-week trial with one real project in your top two picks before committing, because switching after six months of history is the expensive part. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
