The question asked, verbatim: best note taking apps for remote teams
Brands named, in the order the engine gave
- Notion mentioned
Notion - my default pick for most remote teams.
- Google mentioned
It often absorbs Google Docs, Trello, and Confluence at once, which is exactly what you want when the team is distributed and you don't want knowledge scattered across five tools.
- Trello mentioned
It often absorbs Google Docs, Trello, and Confluence at once, which is exactly what you want when the team is distributed and you don't want knowledge scattered across five tools.
- Confluence mentioned
It often absorbs Google Docs, Trello, and Confluence at once, which is exactly what you want when the team is distributed and you don't want knowledge scattered across five tools.
- Jira mentioned
Confluence - the right answer if you're already on Jira, or if you're big enough that permissions, audit, and compliance matter more than feel.
- Coda mentioned
Coda - pick this over Notion if your notes keep turning into trackers.
- Slite mentioned
Slite - the underrated one for small teams who just want a clean, markdown-y team knowledge base without Notion's sprawl.
- Obsidian mentioned
Obsidian - only for individuals on your team, not the team itself.
- Granola mentioned
Granola - my favorite for people who still like taking their own notes.
- Fathom mentioned
Fathom - best free tier in the category by a wide margin, including unlimited recording and transcription.
- Otter.ai mentioned
Otter.ai - pick it if the real problem is memory: searching across years of calls, especially Zoom-heavy orgs.
- Zoom mentioned
Otter.ai - pick it if the real problem is memory: searching across years of calls, especially Zoom-heavy orgs.
- Fireflies.ai mentioned
Fireflies.ai - the one to standardize on for sales teams and larger rollouts with CRM workflows.
- Notion + Granola mentioned
My concrete suggestion: Notion + Granola (or Fathom if you want free) covers ~90% of remote teams.

The answer, as recorded
Two different things get called "note-taking for remote teams," and most teams need one of each: a **shared docs/wiki** home, and an **AI meeting notetaker** so async people can catch up. Here's what I'd actually recommend. ## Shared notes & team wiki 1. **Notion** - my default pick for most remote teams. It's really a workspace that happens to do notes: pages, databases, wikis, and project boards in one place, with real-time editing and comments. It often absorbs Google Docs, Trello, and Confluence at once, which is exactly what you want when the team is distributed and you don't want knowledge scattered across five tools. Weakness: it gets messy without someone owning structure. 2. **Confluence** - the right answer if you're already on Jira, or if you're big enough that permissions, audit, and compliance matter more than feel. It's the enterprise knowledge base; less pleasant to write in, much better at scale and security. 3. **Coda** - pick this over Notion if your notes keep turning into trackers. Notion treats the page as the unit; Coda treats the table as the unit and builds docs on top, with stronger formulas and (as of early 2026) notably strong in-doc AI. Best for ops-heavy or research-heavy teams. 4. **Slite** - the underrated one for small teams who just want a clean, markdown-y team knowledge base without Notion's sprawl. Caveats: web-only, no real offline, mobile is sluggish, and the AI "Ask" feature is a pricey add-on. 5. **Obsidian** - only for individuals on your team, not the team itself. It's excellent for personal thinking and local-first markdown, but it isn't built for collaboration and teams consistently outgrow it as they add people. Fine as a personal layer next to a shared wiki. ## AI meeting notes (the part remote teams underrate) 6. **Granola** - my favorite for people who still like taking their own notes. It records locally with no bot joining the call, then writes up the meeting against your template around what you typed. Least intrusive option. 7. **Fathom** - best free tier in the category by a wide margin, including unlimited recording and transcription. Start here if budget is the constraint. 8. **Otter.ai** - pick it if the real problem is memory: searching across years of calls, especially Zoom-heavy orgs. 9. **Fireflies.ai** - the one to standardize on for sales teams and larger rollouts with CRM workflows. **My concrete suggestion:** Notion + Granola (or Fathom if you want free) covers ~90% of remote teams. Swap Notion for Confluence if you're on Atlassian, or Coda if your docs are secretly databases. One caveat on sourcing: a lot of the "best of 2026" lists below are affiliate/SEO content and rank their own product first (Hive ranks Hive; one list crowns a tool called Manex). I've weighted those accordingly rather than passing the rankings through. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
