The answer, as recorded

The honest answer depends on which of two jobs you mean, since "knowledge base" covers both. Here's what I'd actually recommend, in order: ## If it's a customer-facing help center (public articles, deflect support emails) 1. **Zoho Desk** - my default pick for most small businesses. Free forever for 3 agents, then ~$7/user/mo (Express) and ~$14 (Standard, which is where the knowledge base + live chat + generative AI kick in). You get a real help center, ticketing, and SLAs without paying enterprise prices. Best value by a wide margin. 2. **Freshdesk** - the main alternative, and worth it if you like the UI better. Free tier supports unlimited agents on email/social ticketing. Generally runs noticeably pricier than Zoho at comparable tiers, so pick it on fit, not cost. 3. **HelpDocs or Helpjuice** - if you want *only* a polished knowledge base and no helpdesk attached. Helpjuice charges flat-rate (~$120/mo for up to 4 users, scaling to ~$499 unlimited) instead of per-agent, which beats Zendesk once you're comparing like for like, but it's still a real monthly commitment for a small shop. 4. **Zendesk Guide** - excellent product, highest G2 rating in the category, but it starts at $55/agent/mo on Suite Team. For a 5-person team that's ~$275/mo. I'd only go here if you're already buying Zendesk for support as a whole. 5. **Document360** - skip for now unless you're doing serious technical/product docs. No free tier and a mandatory sales call before you can even price it, which is a bad fit for self-evaluating small teams. ## If it's an internal wiki (SOPs, onboarding, "where's the thing") 1. **Notion** - free for individuals, $10/user/mo Plus, $20/user/mo Business (AI and enterprise search are bundled into Business now). The big advantage is adoption: people already know it, so it doesn't die from neglect. 2. **Tettra** - the budget pick and genuinely good at the Q&A pattern, where repeated questions become articles. Around $4/user/mo Basic with the Kai AI assistant included, ~$8/user/mo at the Scaling tier, 10-user minimum. Roughly half of Notion Business for the same headcount. 3. **Slab** or **Nuclino** - both clean, fast to adopt, less sprawl than Notion. Nuclino if you want docs plus light project management in one place. 4. **Guru** - strong product with good browser-extension delivery of knowledge in-workflow, but self-serve is $25/seat/mo with a 10-seat minimum, so a $250/mo floor. That's a lot for a 5-person team. 5. **Confluence** - only if you're already in the Atlassian stack (Jira). Free tier exists. Otherwise it's heavier than you need. **My one-line version:** if you need customers to find answers, start with Zoho Desk's free tier and upgrade to Standard when you outgrow it. If you need your own team to find answers, start with Notion free and move to Tettra if per-seat costs start to bite.
