The answer, as recorded

Here's what I'd actually recommend, roughly in the order I'd suggest trying them: **1. QuickBooks Solopreneur** (~$20/mo) - My default recommendation for most US freelancers. It's purpose-built for one-person businesses: bank/card sync with swipe-to-categorize business vs. personal, automatic GPS mileage tracking, and running quarterly estimated tax calculations. That last part matters more than people expect - it's the thing that saves you in April. (Note: this replaced the old "QuickBooks Self-Employed" product.) Downside: invoicing is thinner than FreshBooks, and it's US-centric. **2. FreshBooks** (~$19/mo Lite, ~$32/mo Plus) - Best if you bill clients by the hour or project and want expenses, time tracking, and invoicing in one place. Receipt OCR, project-level expense tracking, and you can mark expenses as billable and push them straight onto a client invoice. The nicest UI of the bunch. Lite caps you at 5 billable clients, which trips people up. **3. Wave** (free core) - The right answer if your expenses are simple and your budget is zero. Unlimited income/expense tracking, invoicing, and basic reports for free; you only pay for payment processing or the paid receipt-scanning add-on. No quarterly tax estimates, and support is limited unless you pay. **4. Keeper** (~$16/mo or ~$99/yr) - Narrower but excellent at one job: scanning your bank/card history for missed write-offs, aimed at gig and 1099 workers. If you drive, deliver, or have messy mixed personal/business cards, it finds deductions the general tools miss. It also files your return. Not real accounting software, though - don't use it as your books. **5. Expensify** (free tier; ~$5/user/mo paid) - The pick if "expense management" for you means receipt capture, SmartScan, and corporate-card reconciliation, especially if you have a VA or subcontractors submitting expenses. Overkill for a true solo operator. **6. SparkReceipt** (~$7/mo) - Worth knowing about if you're outside the US. AI receipt scanning, 150+ currencies, and cheap. Lighter on tax features, but the multi-currency handling beats QuickBooks and FreshBooks for international freelancers. **7. Bonsai** (~$25/mo) - All-in-one: contracts, proposals, invoicing, and expense/write-off tracking. Pick it if you want to replace three tools at once; skip it if you already have contracts and invoicing sorted, since the accounting side is the weakest part. **Short version:** US-based, want one tool, care about taxes → QuickBooks Solopreneur. Client-billable work and invoicing-first → FreshBooks. Zero budget → Wave. Messy gig income → Keeper. One thing to flag: prices for this category change often and most of these run introductory discounts (often 50% for 3 months), so check the vendor's own pricing page before committing - the figures above are what the current roundups report, not quotes.
