Power BI Pro runs about $12-14/user/month, and if you're already on Microsoft 365 (especially E5), you may effectively have it already.

It handles Excel files, SQL databases, and most SaaS connectors, and it's the cheapest path to "real" BI with proper data modeling.

Tableau - Best-in-class visualization, but at ~$70/user/month for Creator seats it's hard to justify at small-business scale, and renewal pricing has reportedly gotten worse since Salesforce acquired it.

Databox - Worth a look if you don't want to build anything: it's more of a prepackaged KPI dashboard over your ads/CRM data (~$71/month billed annually).

The answer, as recorded
Here's what I'd actually recommend, roughly in the order I'd suggest you try them: **1. Microsoft Power BI** - The default answer for most small businesses. Power BI Pro runs about $12-14/user/month, and if you're already on Microsoft 365 (especially E5), you may effectively have it already. It handles Excel files, SQL databases, and most SaaS connectors, and it's the cheapest path to "real" BI with proper data modeling. Downside: the modeling language (DAX) has a learning curve. **2. Google Looker Studio** - Free, and the obvious pick if your data already lives in Google Analytics, Google Ads, BigQuery, or Sheets. Great for marketing dashboards and client reporting. It gets wobbly with large datasets or complex joins, but for a lot of small businesses it's genuinely enough. Note: this is *not* the same as Looker (enterprise), which starts in the tens of thousands per year and isn't for you. **3. Metabase** - Best choice if you have a database and someone semi-technical. Self-host the open-source edition for free, or take Metabase Cloud Starter (~$85/month for five users, +$5/user after). Non-technical staff can build dashboards without SQL. This is the startup favorite for good reason. **4. Zoho Analytics** - Strong if you already run Zoho CRM/Books, or want something more affordable and self-contained than Power BI. Tiers run roughly $30/$60/$145/month depending on users and data volume. Good prebuilt connectors to accounting and CRM tools. **5. Tableau** - Best-in-class visualization, but at ~$70/user/month for Creator seats it's hard to justify at small-business scale, and renewal pricing has reportedly gotten worse since Salesforce acquired it. Pick it only if visual analysis quality is genuinely the point. **6. Databox** - Worth a look if you don't want to build anything: it's more of a prepackaged KPI dashboard over your ads/CRM data (~$71/month billed annually). Less flexible, much faster to value. My actual advice: if you're on Microsoft, start with Power BI. If you're on Google, start with Looker Studio (free - no reason not to try it this week). If your data is in a Postgres/MySQL database, start with Metabase. One caveat on the numbers: BI vendors change pricing and tiering frequently, and the third-party roundups I found disagreed with each other on several figures (Zoho especially). Verify current pricing on the vendor's own page before committing. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
