The answer, as recorded

Here's what I'd actually recommend, roughly in the order I'd suggest you look at them: **1. Ramp Bill Pay - start here if you want AP automation for free.** Core bill pay (OCR invoice capture, approval routing, ACH/check payments) costs nothing, and there are no per-transaction fees on ACH or checks. It's monetized through the corporate card side, so the AP piece rides along free. Line-item OCR and auto-coding are genuinely good now, and it syncs to QuickBooks/Xero/NetSuite. Paid tier (Ramp Plus, ~$15/user/mo) adds multi-entity and international. The catch: you're expected to adopt Ramp cards to get the full value. **2. BILL (formerly Bill.com) - the default if your accountant has an opinion.** Longest track record, largest vendor network (~8M vendors, so many of your suppliers are already on it with payment details on file), deepest approval workflows, and the broadest accounting integrations including Sage and NetSuite. It's the one most bookkeepers and CPA firms already know how to run. Downside is price - roughly $45-$79/user/month depending on tier, plus transaction fees - which is a real cost at a 3-person company. **3. Melio - best for the very small end, if you mostly just need to pay bills.** Free to use, free ACH, and you can pay vendors by card (2.9% fee) to float cash even when the vendor only takes a check. Light on approval workflows and automation, so it's a bill-payment tool more than a true AP automation platform - but if you're under ~50 bills a month, that's often all you need. **4. ApprovalMax - add this if your bottleneck is approvals, not payments.** It bolts onto Xero or QuickBooks Online and does multi-step approval chains and spend controls better than anything else at its price. Pair it with Melio or your bank for the actual payments. **5. Stampli - if invoice disputes and back-and-forth are the real problem.** It puts the conversation thread directly on each invoice, so approvers, AP, and budget owners stop emailing about it. Better fit once you're 20+ employees with real departmental approvals. **6. Tipalti - only if you pay internationally or at volume.** Mass payouts, multi-currency, tax form collection (W-9/W-8), global compliance. Overkill and overpriced for a typical small business, but it's the right answer if you're paying contractors or suppliers in 15 countries. **Short version:** try Ramp first since it's free; go to BILL if you need the vendor network, heavier workflows, or your accountant insists; use Melio if you're tiny and just want bills paid. One thing worth checking before you buy any of these: whether QuickBooks or Xero's built-in bill pay already covers you. For a business under ~30 bills a month it frequently does, and that's $0 and zero new integrations.
