The answer, as recorded

## My short list, in the order I'd actually suggest it **1. Melio - the default for a true small business (under ~20 bills/month).** Free tier ($0/mo) covers unlimited ACH-to-bank payments with 5 free transfers; paid tiers are $25/mo (Core) and $55/mo (Boost) for more included ACH. Syncs with QuickBooks and Xero, and lets you pay vendors by card even when they only accept checks or bank transfer. Start here unless you have a specific reason not to - it's the lowest-commitment option and there's no per-seat cost. **2. Ramp Bill Pay - best value if you also want corporate cards.** Core bill pay is free: AI invoice capture, approval routing, free ACH and check payments, accounting sync. Ramp Plus is $15/user/month (20% off annual) and adds procure-to-pay, custom procurement approvals, multi-entity, and multi-currency vendor payments. Caveat: Ramp underwrites you like a card issuer, so it's a better fit if you're banking-ready and want cards + AP + expenses in one system rather than AP alone. (You'll see $45-89/user/month figures floating around on comparison blogs - those don't match Ramp's own published pricing.) **3. BILL (formerly Bill.com) - the incumbent, pick it for depth and vendor network.** $49/user/month (Essentials), $65 (Team), $89 (Corporate), plus per-transaction payment fees. Tiers scale with approval complexity, not volume. It has the longest track record, the largest vendor payment network, and integrations into QuickBooks, Xero, Sage, and NetSuite. The honest tradeoff: per-seat pricing plus transaction fees makes it meaningfully more expensive than Melio or Ramp, so it earns its keep once you have multi-step approvals, several approvers, or an outside bookkeeper in the workflow. **4. ApprovalMax - if approvals are your actual problem.** Narrow tool, but the best at multi-step approval workflows and segregation-of-duties controls layered on top of Xero or QuickBooks Online. Good for a business with a board, investors, or audit requirements that outgrew "the owner eyeballs every invoice." **5. Stampli - if invoice disputes and back-and-forth are the bottleneck.** It centers collaboration on the invoice itself, so questions about a line item live in-thread instead of in email. Worth it for construction, agencies, or anyone with messy vendor invoices. **6. Tipalti - only if you're paying globally or at scale.** ~$99-199/month entry, built for mass payouts, international vendors, multi-entity structures, and tax form collection. Overkill for most small businesses; the right answer if you're paying dozens of overseas contractors. **Skip the rest.** Plooto is worth a look narrowly if flat-rate predictable pricing matters more than features. My actual recommendation: try Melio's free tier first, and move to Ramp if you want cards and spend management in the same place, or to BILL if you need serious approval workflows and a bookkeeper in the loop.
