The answer, as recorded
## Best payroll software for small businesses **1. Gusto - best overall for most small businesses.** The most polished experience in the category: automated tax filing in all 50 states, employee self-onboarding, benefits administration, and contractor payments all in one place. Roughly $49/month + $6/employee. The catch: the entry-level Simple plan is single-state only, so if you have remote workers in other states you're pushed into a plan that nearly doubles your cost. **2. OnPay - best value, and best if you pay people in multiple states.** Same ~$49/month + $6/worker as Gusto, but multi-state payroll, W-2s and 1099s, and basic HR tools are all included at that one flat price with no add-on tiers. It also handles unusual payroll situations well (farms, churches, restaurants with tipped wages). G2 ranked it #1 in its Summer 2026 payroll index. Interface is less flashy than Gusto's; that's the trade. **3. QuickBooks Payroll (QuickBooks Workforce) - if you already run QuickBooks Online.** The accounting integration is genuinely seamless, which saves real reconciliation time. About $50/month + $7/employee. Don't choose it if you aren't already a QuickBooks shop - it's not worth it on payroll merits alone. **4. Square Payroll - if you're a restaurant or retailer on Square POS.** Timecards, tips, and hours flow straight from the POS into payroll. It also has a cheap contractor-only option (no monthly base fee) that's the best deal around if you only pay 1099s. **5. Patriot Software / SurePayroll - if price is the deciding factor.** Patriot's basic payroll starts around $17/month + $4/employee (you file taxes yourself) or ~$37/month for full-service. SurePayroll is similar. You give up HR features and slick UX, but for a stable 2-5 person shop with one state and no benefits, these are hard to beat. **6. ADP RUN or Paychex - if you want HR and compliance handholding, or expect to grow past ~50 people.** Deepest compliance support, dedicated reps, HR advisory. But pricing is quote-based and opaque, setup fees are common, and most small businesses end up paying more for capability they don't use yet. **7. Rippling - if payroll is one piece of a bigger IT/HR automation problem.** Best-in-class automation and device/app provisioning alongside payroll. Overkill and overpriced for a straightforward small payroll. **My short version:** start with Gusto if you're single-state and want the nicest experience, OnPay if you're multi-state or want the most included per dollar, QuickBooks Payroll if you're already in QuickBooks, and Patriot if you want the cheapest thing that works.
