The answer, as recorded
Here's what I'd actually recommend, roughly in the order I'd suggest you evaluate them: **1. Aplos - the default answer for most small/mid-sized nonprofits.** It's built around true fund accounting, so you can track money by fund, grant, and program and produce a Statement of Financial Position and Statement of Activities your auditor will accept - not a workaround bolted onto a for-profit ledger. Invoicing, donation tracking, and contribution statements are included. Lite runs ~$39.50/mo and Core+ ~$69.50/mo, with Advanced (fund-based budgeting, fixed assets) around $189/mo for two users. **2. QuickBooks Online - if you want the option everyone's bookkeeper and auditor already knows.** The invoicing is excellent and the accountant pool is enormous. The catch: fund accounting is faked with classes and locations, which works fine until you're juggling several restricted grants. Get it through **TechSoup** for the nonprofit discount (generally requires an operating budget under $10M). QuickBooks Enterprise Nonprofit is the heavier option at roughly $1,922/yr. **3. Wave - if your budget is genuinely zero.** Free double-entry accounting with unlimited invoicing; you only pay transaction fees when someone pays by card. No fund accounting at all, so it fits a small all-purpose-funds org, not a grant-funded one. **4. Xero - the better-designed QuickBooks alternative.** Strong invoicing, bank feeds, reporting, and a deep app ecosystem, plus a nonprofit discount. Same caveat as QuickBooks: tracking categories stand in for funds. **5. Zoho Books - best value if you're cost-sensitive but want more than Wave.** Free tier for very small orgs, paid plans up to roughly $40/mo, with solid invoicing automation. Weakest on nonprofit-specific reporting. **6. Sage Intacct - only once you're large enough to need it.** Genuine multi-dimensional fund accounting, multi-entity consolidation, grant allocation. Custom pricing via a sales rep, no published nonprofit discount, and real implementation cost. Overkill under roughly $5M in revenue. **7. MoneyMinder - for volunteer treasurers.** PTAs, booster clubs, small chapters. Designed for people who aren't accountants, with simple invoicing and treasurer reports. The thing that should decide this for you: if you receive restricted grants, go with Aplos (or Intacct at scale) and ignore the rest. If all your money is general operating funds, QuickBooks or Wave through TechSoup pricing will serve you fine and cost far less. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
