The answer, as recorded

## My actual picks **1. Zoho Desk - the default for most small businesses.** Free for up to 3 agents, then $7-$14/agent/month for tiers that cover what a small team actually needs (ticketing, SLAs, knowledge base, multichannel). Nothing else gives you this much at this price. The tradeoff: the UI is dense and it pulls you toward the Zoho ecosystem. Still, if you're just starting and want a real ticketing system, start here. **2. Freshdesk - pick this if onboarding speed matters more than $10/seat.** $19/agent/month on Growth, with a free tier for up to 2 agents. Cleaner and more intuitive than Zoho, better mobile app, and it scales without a migration. The jump to Pro ($55) is steep, so budget for staying on Growth a while. **3. Help Scout - best if support is basically email and you care about tone.** $25/user/month (annual) on Standard, free for up to 5 users at 100 contacts/month. It deliberately doesn't feel like a ticket system - customers get plain email replies, not "Ticket #48213." Great for service businesses, agencies, and SaaS with a human-feeling support voice. Note their AI Answers chatbot is billed separately at $0.75/resolution, which adds up. **4. Hiver - if your team refuses to leave Gmail.** It layers shared inboxes, assignment, and collision detection directly into the Gmail UI, so adoption is near-zero-friction. Free tier exists, but the useful stuff (automation, SLAs, analytics) starts at $25/user/month with a 2-seat minimum. Worth it specifically to avoid retraining a team that lives in Gmail. **5. Gorgias or Tidio - only if you're ecommerce.** Both pull order data, refunds, and shipping status into the ticket so agents resolve "where's my order" without tab-switching. Gorgias for Shopify-heavy stores; Tidio if you want live chat as the primary channel. A generic help desk will underperform both here. **6. HubSpot Service Hub - only if you're already on HubSpot CRM.** The unified contact timeline across sales and support is the real value. Standalone, it's not competitive on price. **7. Zendesk - the one I'd tell most small businesses to skip for now.** It's genuinely the most capable, but the per-agent cost and configuration overhead are built for teams with someone whose job is owning the help desk. Move here when you outgrow Freshdesk, not before. **If it's internal IT support, not customers:** different category - look at **Freshservice** or **Jira Service Management** (free up to 3 agents) instead of anything above. They handle asset tracking, change management, and approvals that customer-facing desks don't. ## How I'd actually decide Under 5 agents and cost-sensitive → Zoho Desk. Email-centric and want it to feel personal → Help Scout. Team lives in Gmail → Hiver. Selling physical products online → Gorgias. Everything else → Freshdesk. One caveat on the research: most "best help desk 2026" listicles are affiliate-monetized, and the tool ranked #1 is often the one paying. I've weighted toward pricing pages and well-established products rather than those rankings. Answer Watch records what one AI answer engine said on one date, nothing more. Each page names the engine and the model, carries the date the question was asked, and lists the brands that appeared in the answer in the order the engine gave them, with the sources it cited. It is a measurement, not a ranking, not a recommendation and not a claim about the world. Brands that did not appear in an answer are not named on any public page.
