The question asked, verbatim: best expense management software for nonprofits
Brands named, in the order the engine gave
- Ramp mentioned
Short version: for most nonprofits the answer is Ramp or BILL Spend & Expense, both free.
- BILL mentioned
Short version: for most nonprofits the answer is Ramp or BILL Spend & Expense, both free.
- BILL Spend & Expense mentioned
Short version: for most nonprofits the answer is Ramp or BILL Spend & Expense, both free.
- Form 990 mentioned
The nonprofit-relevant part is that you can attach custom fields - fund, grant, program, functional expense category - at the point of swipe rather than reconstructing it in your GL later, which matters a lot at Form 990 time.
- Google recommended
Caveat: it's a charge card, so it requires a bank balance to underwrite, and much of the "Ramp is best for nonprofits" content ranking on Google is written by Ramp itself.
- PEX Card mentioned
PEX Card - Worth a real look if you hand cards to volunteers, youth leaders, foster parents, or field staff who shouldn't have credit.
- Expensify mentioned
Expensify - Choose it if your actual need is receipt capture and reimbursing staff and volunteers, not card issuing.
- Sage Intacct mentioned
Sage Intacct - The right answer once you're multi-entity, multi-grant, or audited seriously.
- QuickBooks mentioned
Its dimensional accounting model (fund, grant, program, location, funder as dimensions rather than a sprawling chart of accounts) is the real draw, and it's the standard upgrade path for nonprofits outgrowing QuickBooks.
- Blackbaud Financial Edge NXT mentioned
Blackbaud Financial Edge NXT - Consider it mainly if you're already on Raiser's Edge and want one vendor.
- Aplos mentioned
Aplos or Zoho Expense - Aplos for tiny orgs ($250K-$2M) that want fund accounting, donations, and basic expense tracking in one cheap subscription instead of stitching three tools together.
- Zoho mentioned
Aplos or Zoho Expense - Aplos for tiny orgs ($250K-$2M) that want fund accounting, donations, and basic expense tracking in one cheap subscription instead of stitching three tools together.

The answer, as recorded
Short version: for most nonprofits the answer is **Ramp** or **BILL Spend & Expense**, both free. Here's how I'd rank them, roughly by org size. **1. Ramp** - My default recommendation for small-to-midsize nonprofits. Corporate cards, expense reports, reimbursements, and bill pay in one platform, and the core product is genuinely free (no subscription, no per-card fee). The nonprofit-relevant part is that you can attach custom fields - fund, grant, program, functional expense category - at the point of swipe rather than reconstructing it in your GL later, which matters a lot at Form 990 time. No personal guarantee on the cards. Caveat: it's a charge card, so it requires a bank balance to underwrite, and much of the "Ramp is best for nonprofits" content ranking on Google is written by Ramp itself. **2. BILL Spend & Expense (formerly Divvy)** - The closest free competitor and the better pick if your budget discipline is the problem. Its budget-first model (money is allocated to a budget before anyone can spend it) maps nicely onto program and departmental budgets, and it's approachable for volunteer treasurers. Weaker than Ramp on fund/grant-level coding, and bill pay is a separate paid BILL product. **3. PEX Card** - Worth a real look if you hand cards to volunteers, youth leaders, foster parents, or field staff who shouldn't have credit. It's prepaid, so you load a specific amount and it physically cannot be overspent, with merchant-category blocking on top. Very common in churches and human-services orgs. Nonprofit plans run $0/$30/$80 per month. Less of a full finance platform than the two above. **4. Expensify** - Choose it if your actual need is receipt capture and reimbursing staff and volunteers, not card issuing. SmartScan is still best-in-class and it's the easiest tool to get non-finance people to adopt. It has no native fund or grant coding and isn't built around nonprofit reporting, so you'll do that work in your accounting system. **5. Sage Intacct** - The right answer once you're multi-entity, multi-grant, or audited seriously. Its dimensional accounting model (fund, grant, program, location, funder as dimensions rather than a sprawling chart of accounts) is the real draw, and it's the standard upgrade path for nonprofits outgrowing QuickBooks. Expensive, needs an implementation partner, and its native T&E is weaker than the specialists above - many orgs run Intacct plus Ramp or Expensify. **6. Blackbaud Financial Edge NXT** - Consider it mainly if you're already on Raiser's Edge and want one vendor. Its expense module syncs card transactions well, but reviewers consistently rate it below Intacct on reporting flexibility and it's the pricier, more legacy option. **7. Aplos or Zoho Expense** - Aplos for tiny orgs ($250K-$2M) that want fund accounting, donations, and basic expense tracking in one cheap subscription instead of stitching three tools together. Zoho Expense if you're already in Zoho and want a low-cost reimbursement tool. One thing to check before you buy: whichever you pick, confirm it writes back to your accounting system with the fund/grant dimension intact. That integration, not the expense UI, is where these projects usually fail.
