## My actual recommendations, in order **1. QuickBooks Online + a local or freelance bookkeeper** - This is what I'd tell most small businesses to do first, before shopping the subscription services. QBO runs roughly $38/mo, and an independent bookkeeper for a simple business (one or two bank accounts, under ~200 transactions a month) typically costs far less than the $300-400/mo the managed services charge. You also own your data in a standard format, which matters more than people think - see point 6. Downside: you have to find and vet the person yourself. **2. Bookkeeper360** - The best of the full-service options if you want one vendor for bookkeeping, payroll, sales tax, and CFO-type advisory. Starts around $399/mo. Worth it once you've outgrown a solo bookkeeper but aren't ready for a controller. It's QBO- and Xero-based, so your books stay portable. **3. 1-800Accountant** - The cheapest credible entry point among the managed services, with tiers starting around $249/mo and a dedicated accountant assigned to you. Good fit if you want bookkeeping and tax filing from the same place and your business is straightforward. Service quality reviews are more mixed than Bookkeeper360's, so treat the low tier as "bookkeeping plus a tax return," not advisory. **4. Pilot** - Specifically for venture-backed startups. Accrual-basis by default, investor-ready reporting, and they understand burn rate and board decks. Advertised entry pricing starts near $99/mo but realistic plans run much higher. If you're not raising money, you're paying for things you don't need. **5. Xendoo** - Tiers at $395 / $695 / $995/mo gated by monthly expense volume. I'd name it mainly for e-commerce and multi-entity businesses, where the per-entity handling is cleaner than competitors'. For a single simple business it's overpriced relative to options 1-3. **6. Bench - I'd avoid it.** Bench abruptly shut down on December 27, 2024, stranding 12,000+ small businesses mid-tax-season, was bought by Employer.com three days later, and has since been folded toward the Mainstreet brand while bench.co still runs under the Bench name. It works today, but it's mid-rebrand under new ownership with an actual history of leaving clients without books. The deeper problem is that Bench used a proprietary ledger that didn't export to QuickBooks or Xero, which is exactly why the shutdown was so painful. That's a reason to prefer any provider that keeps your books in QBO or Xero. **The thing I'd actually check before signing anything:** whether the provider works inside QuickBooks or Xero (you keep your data) or in their own system (you don't), and whether you get a named accountant rather than a support queue. Those two questions separate the good options from the bad more reliably than price does.
