The answer, as recorded
Here's how I'd actually rank these - for nonprofits the right answer depends mostly on what your general ledger is and how much fund/grant coding has to survive down to the invoice line. **1. Ramp Bill Pay - the default for most small-to-midsize nonprofits.** Free core plan ($0/user), OCR invoice capture, approval routing, ACH/check/card payments, and native two-way sync to QuickBooks Online and Sage Intacct including class/dimension coding. Corporate cards with no personal guarantee are bundled in, which matters because most nonprofits are trying to solve cards *and* bills at once. Ramp says 8,600+ nonprofits use it. Caveat: it's monetized on card interchange, so if you'll never use the cards you're using the weakest part of the value prop - it's still free. ([ramp.com/blog/bill-pay-guides/nonprofit](https://ramp.com/blog/bill-pay-guides/nonprofit), [ramp.com/blog/expense-management-software-for-nonprofits](https://ramp.com/blog/expense-management-software-for-nonprofits)) **2. BILL (formerly Bill.com), bought through TechSoup.** The most mature pure-play AP product, and the one your auditor and bookkeeper will already know. The reason to buy it through TechSoup instead of direct: 12 months at 40% off Essentials/Team/Corporate for new users. List is roughly $45-79/user/month, so the discount is real money. Best fit when QuickBooks Online or Xero stays the ledger and you want AP *and* AR in one place. ([support.techsoup.org - BILL/add-ons](https://support.techsoup.org/hc/en-us/articles/26927236143515-Add-On-Services-for-QuickBooks-Online)) **3. AvidXchange - if you're on MIP Fund Accounting.** Avid and MIP (Community Brands) built a direct invoice-to-pay API integration in 2024 that syncs GL codes, vendors, invoices and payments, offered to MIP's ~6,000 customers. If MIP is your ledger, this is the path of least resistance and the fund coding actually holds. Avid is also the right call for property-heavy nonprofits (housing, facilities) because of its utility and real-estate payment network. ([avidxchange.com/MIP integration](https://ap.avidxchange.com/?p=25809), [stocktitan.net announcement](https://www.stocktitan.net/news/AVDX/avid-xchange-announces-strategic-partnership-and-api-integration-g6wylbvecc28.html)) **4. Sage Intacct (with its native AP, or Intacct + Ramp/BILL) - for grant-heavy organizations.** If fund, program, grant, location, funder and functional-expense have to be coded at line level and roll straight into Form 990 and grant reports, this is the tier where you stop bolting on and buy real dimensional fund accounting. Expensive and implementation-heavy; don't go here under ~$5M budget. ([tipalti.com/blog/erp-for-nonprofits](https://tipalti.com/blog/erp-for-nonprofits/)) **5. Blackbaud Financial Edge NXT - only if fundraising already runs on Raiser's Edge.** The AP module is unremarkable on its own merits; the reason to pick it is that you avoid reconciling gift data against a second ledger. If you're not already a Blackbaud shop, skip it. ([tipalti.com/blog/erp-for-nonprofits](https://tipalti.com/blog/erp-for-nonprofits/)) **6. Aplos - small nonprofits that want fund accounting and bill pay in one subscription.** Around $129/month, restricted funds and vendor bills in the same system, no integration to maintain. Right for a sub-$1M organization with a part-time bookkeeper; you'll outgrow it. ([toolradar.com guide](https://toolradar.com/guides/best-accounts-payable-software-for-nonprofits)) **7. Tipalti - if you pay international grantees, subgrantees or contractors.** Mass global payouts, tax form collection (W-9/W-8), and payee onboarding are its actual differentiator. Overkill and overpriced for domestic-only AP. ([tipalti.com](https://tipalti.com/blog/erp-for-nonprofits/)) Two things worth knowing before you buy: QuickBooks' own **Bill Pay** add-on was opened to TechSoup-donated QBO subscriptions in Dec 2025, but as of May 2026 TechSoup was reporting activation failures and could not confirm availability on donated Plus/Advanced plans - so don't build your plan around it ([support.techsoup.org - QuickBooks Bill Pay](https://support.techsoup.org/hc/en-us/articles/50978964375835-QuickBooks-Bill-Pay)). And whatever you choose, the approval workflow needs to mirror your board's spending-authority policy and produce a per-disbursement audit trail - that, not invoice OCR, is what gets tested in your audit. If I had to pick blind: **Ramp**, and **BILL via TechSoup** if you need AR too or your accountant insists.
