The answer, as recorded

Depends mostly on your size and how much real fund accounting your auditors and funders demand. Here's what I'd actually recommend, in order: **1. QuickBooks Online + a nonprofit chart of accounts - the default for most small nonprofits.** Not purpose-built, but every bookkeeper and CPA already knows it, so you can hire help cheaply and your auditor won't blink. You fake fund accounting with classes/locations for restricted vs. unrestricted. Available through TechSoup at a steep nonprofit discount (~$80/yr for the desktop grant). Start here unless you have a specific reason not to. **2. Aplos - best pick if you want true fund accounting without enterprise pricing.** Built for nonprofits and churches: restricted and unrestricted funds stay genuinely separate in the ledger, and it bundles donor management, online giving forms, giving statements, and a board portal. ~$79/month. The sweet spot is a small-to-mid org with real restricted funds and no full-time accountant. **3. Sage Intacct - what you graduate to at scale.** Dimensions-based architecture (tag every transaction by fund, grant, program, location, department) so you can report any slice without a parallel spreadsheet system. This is the right answer if you're running roughly $5M+, have multiple entities, heavy federal grant reporting, or an actual finance team. Custom pricing, and it's a real implementation project. **4. Blackbaud Financial Edge NXT or MIP Fund Accounting - purpose-built fund ledgers.** Worth a look mainly if you're already in the Blackbaud/Raiser's Edge ecosystem (Financial Edge) or you're grant-heavy and want encumbrance accounting (MIP). Both are clunkier than Intacct but very strong on compliance reporting. **5. Oracle NetSuite - if you need an ERP, not just accounting.** Overkill for most, but the right call for large multi-entity internationals with inventory, payroll, and HR all in one system. Social Impact program gives donated/discounted licenses. **6. Wave or Zoho Books - for micro orgs.** Wave is genuinely free double-entry accounting; Zoho Books runs free to ~$40/month with good automation. Neither does fund accounting, so these only work if you have an all-volunteer budget under ~$100K and few or no restricted gifts. **Honorable mention: MoneyMinder (~$299/yr)** - built for volunteer treasurers of PTAs, booster clubs, and small all-volunteer groups. Not real accounting software, but the right tool if the "finance department" is one parent with a shoebox. The one thing I'd hold firm on: whatever you pick needs to track money by fund *and* by donor restriction. If it can't, you'll end up rebuilding your FASB 958 statements by hand every year.
